This position is full-time and is hybrid, requiring 3 days per week onsite in their New York City office. Requirements

  • 5+ years of experience in a finance, accounting, or related role
  • 5+ years of experience with QuickBooks, with a strong understanding of financial workflows and reporting
  • Highly organized with strong attention to detail and accuracy
  • Proficiency in Microsoft Excel and Google Workspace (Sheets, Docs, etc.)
  • Bachelor’s degree in Accounting, Finance, or a related field

Nice To Haves

  • Prior experience working in a fast-paced creative agency environment
  • Familiarity with production workflows, including budgets and wrap reports
  • Proficiency with time tracking tools such as Harvest, Wrapbook, or similar platforms
  • Experience with expense management systems (e.g., Sage or equivalent)
  • Eagerness to learn, grow, and continuously develop new skills

Responsibilities

  • Maintain accurate data entry across financial systems and reports, ensuring consistency and integrity
  • Track and manage timesheets, including production timecards for cast and crew
  • Support financial job tracking by updating reports, opening/closing job numbers, and monitoring client budgets
  • Oversee and reconcile client expenses and payments, ensuring accuracy and timely processing
  • Manage the agency’s expense management platform and support ongoing system improvements
  • Assist in implementing new tools, systems, and processes to improve financial and operational workflows
  • Partner with the production team to track budgets, ensure accuracy, and support timely budget reconciliation (“wrap”)
  • Prepare and support monthly financial closing reports and processes
  • Track and analyze production profitability, providing visibility into performance and cost management
  • Coordinate vendor onboarding and manage required paperwork and documentation
  • Support onboarding of new employees from an operational and systems perspective
  • Collaborate with production teams on wrap sheets and financial documentation post-shoot
  • Contribute to innovation initiatives, including supporting AI-driven improvements within the finance function
