About The Position

We are seeking an organized and detail-oriented Finance Associate, Shared Services to join our dynamic Finance Team, supporting month-end close, revenue and payroll accounting, tax compliance, financial reporting and reconciliations in a fast-growing, rapidly changing SaaS environment. Using established procedures and your experience, you will ensure day-to-day accounting transactions are carried out accurately and in line with company policies while managing recurring deadlines. This is a hybrid role based in Ottawa, requiring three or more days per week in the office to support collaboration, alignment, and team development.

Requirements

  • Progressive experience in general accounting, payroll and accounts payable
  • Completed post-secondary education in business, finance, accounting, or related field.
  • Pursuing or interested in pursuing a CPA designation.
  • Hands-on experience with spreadsheets and financial reports.
  • A willingness to learn and identify opportunities to improve systems and processes.
  • Proven experience with basic accounting policies and procedures.
  • Proficiency in MS Office, databases, and accounting software.

Nice To Haves

  • Experience with Netsuite is an asset.

Responsibilities

  • Process vendor payments across multiple banking platforms.
  • Process credit card payments and reconciliations.
  • Administer accounts payable, including vendor set-up, bill entry, and maintaining proper documentation for all vendor bills and journal entries.
  • Ensure the accuracy and integrity of payroll data and process payroll for the Canadian entity.
  • Assist with employee onboarding, payroll changes, and payroll-related administration.
  • Complete year-end payroll reconciliations and filings, including T4s, T4As, NR4s, and EHT.
  • Provide support to employees, including expense reimbursements and payroll-related questions.
  • Assist in developing overall payroll procedures by recommending improvements or changes for greater efficiency.
  • Prepare and post journal entries related to payroll, accruals, prepaid expenses, intercompany transactions, taxes and other recurring activities.
  • Perform month-, quarter-, and year-end closing procedures (e.g., recording accrued vacation, credit card statements, accrued payroll).
  • Take ownership of certain GL accounts and reconcile them monthly (trade accounts payable, accrued payroll, withholding tax payable, benefit accounts).
  • Perform monthly bank reconciliations and support cash management activities.
  • Assist with monitoring cash receipts and recording customer payments.
  • Support external audits by preparing documentation, reconciliations, and audit requests.
  • Ensure compliance with company policies, internal controls, and IFRS accounting standards.
  • Assist with preparing disclosures for the financial statements, reports, and working papers.
  • Assist in maintaining documentation and procedures supporting financial processes.
  • Support ad-hoc projects and other duties as required.
