About The Position

The field administrator serves as the central hub of operational support within the dealership, ensuring smooth day-to-day business operations, accurate document flow, timely accounting preparation, and compliance with title and registration requirements. This role bridges the gap between sales, accounting, and management, maintaining proactive communication to keep all departments aligned.

Requirements

  • Must be able to sit for prolonged periods of time at work station
  • Must be able to safely and efficiently move through the dealership premises—including indoor showrooms, vehicle lots, and service areas—while maintaining awareness of moving vehicles, customer foot traffic, and showroom displays.
  • Excellent Communication Skills – able to relay information clearly to multiple departments and follow up without delay.
  • Strong Organizational Skills – maintain clean, accessible files and an orderly office environment.
  • Detail-Oriented Mindset – ensuring documents, IDs, and forms are accurate and complete before submission.

Nice To Haves

  • 1+ year of accounting experience in a dealership, automotive, or powersports industry is preferred.

Responsibilities

  • Maintain an organized and efficient office environment.
  • Manage incoming and outgoing mail, distributing documents to appropriate departments promptly.
  • Monitor and maintain office supplies, Title & Registration inventory.
  • Maintain a cash-controlled environment.
  • Prepare and scan all cash daily reporting and documentation for Accounting Manager review.
  • Maintain accurate records of customer payments, deposits, and sales deals for timely accounting posting.
  • Collect and verify supporting documents for vendor invoices, credit card receipts, and customer refunds before submission to accounting.
  • Support reconciliation efforts by ensuring all required documents (packing slips, major unit invoices, etc.) are properly filed and accessible.
  • Prepare and process title work for new, used, ensuring compliance with state motor vehicle requirements.
  • Track and follow up on all pending titles, coordinating with lenders, customers, and other dealerships as needed.
  • Maintain accurate records of MSOs and titles, conducting monthly audits to ensure all are accounted for.
  • Coordinate DMV/Tax office runs or online submissions for title and registration processing, resolving discrepancies promptly.
  • Serve as the first point of contact for store-level inquiries related to documents, title status, or accounting prep items.
  • Maintain open, consistent communication with the Accounting Manager, General Manager, and Regional Controller on outstanding items, issues, and deadlines.
  • Escalate issues early, providing complete details and supporting documentation to aid quick resolution.
  • Facilitate timely flow of information between sales, service, and accounting to prevent delays in finalization and payment processing.
  • Perform other accounting-related duties and/or special projects based on business needs with accuracy, professionalism, and commitment to process consistency.
