About The Position

Under the direct supervision of the Director, Scholarships & Grants, this position is responsible for providing administrative assistance to the Scholarship and Grant Program Department. This is a Federal Work Study (FWS) student employee position open only to currently enrolled Bellevue University students who have Federal Work Study as part of their financial aid package. Students must have completed a FAFSA and accepted their FWS offer before they can apply for a FWS position.

Requirements

  • Awarded Financial Aid Federal Work Study dollars.
  • High-school diploma required.
  • Intermediate knowledge of Microsoft Office (Word, Outlook, PowerPoint, Excel).
  • Must possess strong attention to detail, good organizational skills with the ability to ensure accurate work.
  • Must have strong interpersonal, verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to set priorities and to meet deadlines.
  • Proficiency in internet research.
  • Ability to learn quickly.
  • Must be able to maintain strict confidentiality regarding student information.
  • Ability to work independently, but as part of team concept.
  • Must be able to maintain regular and predictable attendance with the flexibility available as class schedules change.

Nice To Haves

  • Some college preferred.
  • Bilingual: Spanish-English highly desired, not required.

Responsibilities

  • Provides administrative assistance including data entry in CommunityForce and Salesforce CRM.
  • Retrieves data from various systems like Campus Solutions, Salesforce CRM, Student Financial Planning (SFP), and WebNow for entry or report development.
  • Researches external scholarship opportunities, loads information into spreadsheets, and develops a weekly update list for the Marketing Department to update external scholarship links on the Bellevue.edu website.
  • Files, faxes, makes copies, and scans department and/or student documents.
  • Assists the department in contacting students via phone, email, and/or text for follow-up on scholarship applications and acceptances, or regarding attendance at events, programming, receptions, and donor meetings.
  • Types labels, letters, memorandums, forms, and reports.
  • Prepares quarterly Scholarship Reviewer materials through creative expression, such as creating holiday and Valentine’s Day cards.
  • Puts up and takes down seasonal department decorations and/or creates decorations.
  • Prepares presentation and event packets as needed.
  • Prepares letters and mailings for specific departmental projects.
  • Prepares scholarship reviewer materials for the Omaha Steaks Scholarship.
  • Creates scholarship opportunity flyers for internal staff to share with prospective and current students.
  • Assists in adding scholarship criteria to individual scholarships within the CommunityForce application site.
  • Assists in proofing projects/jobs.
  • Assists with on-campus events through planning and preparation, as well as speaking to prospective students as part of student panels.
  • Attends and assists at college fairs, tables at community events, etc., as needed.
  • Performs other duties as requested.
