About The Position
Job Duck is seeking a compassionate and highly organized Family Law Legal Assistant to support a growing assisted reproduction law practice. In this role, you will manage important case information, coordinate client documentation, support legal workflows, and help families navigate meaningful milestones involving adoption, surrogacy, and assisted reproduction. You will work closely with a collaborative legal team while maintaining accuracy, responsiveness, and sensitivity when communicating with clients from different backgrounds and countries. The ideal candidate is a detail-oriented self-starter who takes accountability for their work and approaches every interaction with professionalism, empathy, and cultural awareness. Requirements
- Full-time position
- Monday through Friday
- Working hours from 8:00 a.m. to 5:00 p.m. Pacific Time
- Advanced English proficiency is required
- Strong data entry and document management abilities are required
- Must be comfortable supporting clients from diverse cultural backgrounds and members of the LGBT community
- Must have reliable internet access and a suitable remote workspace
Nice To Haves
- Some scheduling flexibility may be available
- Spanish proficiency is welcome but not required
- Previous family law experience is not required
- Previous legal assistant, legal administrative, case management, or records management experience is preferred
- Experience working with sensitive or confidential information is preferred
- Familiarity with legal documents, court filings, or pleading preparation is preferred
Responsibilities
- Perform additional legal and administrative duties as assigned
- Assist clients from different countries and cultural backgrounds with respect and cultural sensitivity
- Handle sensitive client and family information with confidentiality and discretion
- Maintain accurate records of client communications, case activity, and pending tasks
- Support the electronic filing of pleadings with Oregon and Washington courts as assigned
- Proofread pleading drafts and save them for attorney review
- Assist with preparing pleadings using approved Clio templates
- Send appointment requests through Clio as assigned
- Maintain responsiveness and accuracy while supporting a high volume of new files
- Provide inclusive and compassionate support to LGBT individuals and families
- Track outstanding invoices and follow up as directed
- Follow up with leads and maintain accurate status information
- Follow up with prospective clients regarding pending representation agreements
- Prepare and send representation agreements to prospective clients
- Support the legal assistants with administrative and case management tasks
- Monitor pending tasks and take initiative to ensure timely completion
- Communicate with clients, agencies, and team members in a professional, empathetic, and reassuring manner
- Review and finalize redlined contracts based on attorney instructions
- Manage appointments and update all required fields in Clio
- Maintain organized and accurate electronic client files
- Save email attachments and supporting documents in Dropbox
- Review the firm’s email inbox and route messages appropriately
- Assign tasks and deadlines to cases according to established workflows
- Manage and maintain client and case information in Clio
- Convert prospective matters into active cases in Clio
- Enter new referrals and prospective client information into Clio
- Respond to referral emails from agencies in a timely and professional manner
- Enter information accurately from client forms and supporting documents
