In the Family Enterprise Operations Specialist role, you will provide operational, administrative, and coordination support to the IDEAL Industries family enterprise. This role is critical to ensure the smooth execution of family governance activities, meetings, communications, and engagement initiatives that support a growing, multigenerational ownership group. You’ll work closely with the Family Enterprise Council Chair and cross-functional partners to help translate family enterprise governance strategy into consistent, well-organized operations, supporting clarity, continuity, and a positive experience for family members across generations.

Requirements

  • 3–5 years of experience in operations, project coordination, executive support, governance, or a related role
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Excellent written and verbal communication skills
  • High degree of professionalism, discretion, and ability to manage confidential information
  • Proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Word, Teams)

Nice To Haves

  • Experience working with family enterprises, boards, councils, foundations, or complex stakeholder groups
  • Familiarity with governance structures, committee workflows, or shareholder relations
  • Comfort working in a values-driven, multigenerational, and relationship-centered environment

Responsibilities

  • Coordinate logistics and operations for family enterprise governance bodies, including the Family Enterprise Council, Family Assembly, committees, and working groups
  • Prepare meeting materials (agendas, presentations, briefing documents), track action items, and support follow-up execution
  • Maintain governance calendars, annual cycles, and key deliverables to ensure consistency and continuity
  • Support preparation and distribution of family communications, including newsletters, updates, invitations, and surveys
  • Assist with family engagement initiatives, educational programming, and events (virtual and in-person)
  • Maintain organized records of communications, attendance, and participation metrics
  • Maintain family enterprise records, contact lists, governance documents, and historical files with discretion and accuracy
  • Support reporting related to family engagement, participation, and governance activity
  • Assist with content management across family-facing platforms or tools (e.g., portals, shared drives)
  • Partner with internal teams to support family enterprise initiatives
  • Coordinate with external vendors, consultants, or facilitators as needed
  • Ensure family enterprise activities align with IDEAL policies, values, and best practices
  • Support budgeting and expense tracking related to family governance and engagement activities
  • Help identify process improvements to enhance efficiency, consistency, and the family member experience
  • Provide general administrative support to the Family Enterprise Council Chair and related bodies as needed
