About The Position

The Family Aftercare Coordinator at Network for Hope (NFH) is responsible for the administration of the Family Aftercare Program. This role involves independent work to provide all prescribed written interactions with donor families and other partners, including outcome letters, milestone correspondence, and mailed support pieces. The Coordinator also manages the receipt and processing of donor family and recipient correspondence, obtains recipient update requests, and ensures timely responses to donor families. This position is crucial for maintaining NFH's professional and compassionate image and public trust.

Requirements

  • Associate degree in business or related field or equivalent experience as an administrative assistant required.
  • 3-5 years of Administrative Assistant experience preferred.
  • Proficiency in writing, computer, and organizational skills is required.
  • Must be extremely detail oriented and organized.
  • Must be skilled in verbal communication.
  • Proficient use of Microsoft Office products is required.

Responsibilities

  • Provides and ensures consistent monthly Aftercare communications by coordinating the process for all donor families (organ, tissue, eye), including generating and sending outcome letters and authorization letters.
  • Coordinates monthly Aftercare communications for families in the Donor in Spirit Program, including sending grief packets, mementos, support letters, and resource booklets.
  • Maintains updated contact information for all donor families, managing returned mail and contacting families for additional information.
  • Maintains the Aftercare and Donor in Spirit text drip campaigns.
  • Handles the receipt of and obtains all recipient update requests.
  • Enters and maintains electronic documentation of all aftercare activities and records.
  • Monitors Aftercare supply inventory and notifies the Family Aftercare Manager when reorders are needed.
  • Assists with all special events, including annual donor memorial services and other donor family events.
  • Identifies and develops relationships with key transplant center staff.
  • Develops and maintains collaborative working relationships with the Network for Hope Community Relations Department.
  • Provides administrative assistance for Philanthropy and Community Relations department efforts.
  • Prepares and provides reports within a timely manner, as directed.
