About The Position

The faculty assistant is responsible for providing academic, administrative, and research support for Chemical and Biological Engineering faculty members and their respective research groups. This position is also responsible for a significant amount of event planning, which varies in complexity from one-time parties to multi-day seminars and symposiums. Various other departmental support tasks will also be assigned as needed. The successful faculty assistant must demonstrate a high degree of professionalism in a fast-paced environment, using sound judgment and strong organizational skills, while being flexible as demands and priorities change. This position collaborates closely with other department staff, as well as colleagues across campus and vendors/collaborators outside the University.

Requirements

  • Bachelor’s Degree or 3+ years of closely-related experience
  • Demonstrated successful organizational and interpersonal skills, including written and verbal communications with faculty, students, researchers, and staff at all levels
  • Service-oriented and proactive approach with great attention to detail
  • Demonstrated ability to multi-task, prioritize, and work independently in a fast-paced environment
  • Proven ability to exercise independent judgment and make decisions based on established policies and procedures
  • Willingness to work independently and as part of a team
  • Proficiency in Microsoft applications, including Outlook, Word, and Excel

Responsibilities

  • Provide general administrative support duties for assigned faculty and their research groups (approximately 10 faculty at any given time).
  • Make faculty and guest travel arrangements.
  • Scheduling assistance, including managing calendars, appointment requests, and meeting space reservations.
  • Prepare and ship correspondence and laboratory materials for research groups.
  • Course support: Assist with preparation and maintenance of Canvas sites, including uploading course-related materials, sending emails to students, and ordering books.
  • Prepare and send correspondence on behalf of faculty.
  • Assist faculty with CV and profile updates, submission of papers for conferences, and working with outside companies.
  • Proofreading and editing.
  • Plan and execute departmental events such as weekly seminar series, holiday parties, academic year-end events, alumni socials, faculty meetings, lunches, retreats, conferences, and symposiums.
  • Event planning includes space reservations and setup, food, advertising and communications, tracking RSVPs, hotel blocks, meeting schedules, vendor relationships, and budget management.
  • Ensure compliance with University policies related to contracts, financials, and hosting events and guests.
  • Provide support to undergraduate and graduate program administrators for student events.
  • Purchasing and receiving of lab and office supplies.
  • Maintain and reconcile monthly travel and expense credit cards (Concur).
  • Process expense reimbursement requests.
  • Manage and reconcile the budget and expenses for assigned events.
  • Staff department reception desk, greeting visitors and providing directions and basic information.
  • Website updates for faculty pages, people, and events (Drupal).
  • Provide backup assistance to other support staff in the department.
  • Perform other departmental administrative duties such as mail distribution and communications tasks.
  • Complete special projects as assigned by the Senior Manager of Finance and Administration or Administrative Office Coordinator.
