About The Position

This is a fully onsite role based at our GMP Lab in Middleton, Wisconsin. We welcome applicants from all locations within the US. Please note that relocation assistance is not provided for this position, and any relocation costs will be the responsibility of the candidate. Must be legally authorized to work in the United States without sponsorship. Must be able to pass a comprehensive background check, which includes a drug screening. Position Summary: The Facilities Operations Specialist provides team support of the Facilities Management Services function and provides vendor management coordination of onsite Services, Amenities, Building and Grounds in an energetic and fast-paced environment.

Requirements

  • Bachelor's degree or equivalent and relevant formal academic / vocational qualification
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 2+ years). In some cases, an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.
  • Proven ability to handle multiple tasks simultaneously and balance priorities
  • Strong problem-solving skills
  • Strong computer skills in Microsoft Office Suite and other platforms
  • Effective oral and written communication skills
  • Effective negotiation skills
  • Basic understanding of building systems (mechanical, electrical, security, etc.)
  • Knowledge of electrical, plumbing, mechanical and/or light general construction may be required
  • Ability to effectively interact with outside vendors and internal customers
  • Positive attitude and ability to work well with others
  • Comfort with ambiguity and effectiveness during periods of uncertainty and change
  • May require knowledge and understanding of computerized maintenance and work order systems
  • May require a strong understanding of security systems

  • Able to work upright and stationary and/or standing for typical working hours.
  • Able to move effectively throughout facility, including lifting and moving objects up to 35-50 pounds.

Responsibilities

  • Serve as the primary point of contact for facilities service requests, managing the site helpdesk and ensuring timely communication with stakeholders.
  • Review, triage, prioritize, and assign incoming facilities work requests based on GMP, safety, operational, and business requirements.
  • Raise and manage purchase requisitions and purchase orders for facilities services, maintenance materials, and contractor support in accordance with company procedures.
  • Identify opportunities to improve work management processes, service delivery, and customer satisfaction across the site.
  • Coordinate with and issue Sitewide communications regarding landlord work.
  • Support workspace assignments, seating arrangements, and office relocations in accordance with site standards and business requirements.
  • Process Moves, Adds, and Changes (MAC) requests and update workplace records, floor plans, and occupancy data as required.
  • Coordinate move activities with employees, managers, Facilities, IT, and other support teams to ensure a smooth transition.
  • Maintain records and documentation related to space utilization, occupancy, and move activities and generate routine reports to support facilities operations and workplace planning.
  • Administer site access control systems, including issuing, modifying, and deactivating employee, contractor, and visitor access credentials in accordance with site security requirements.
  • Review and process badge access requests, ensuring appropriate approvals are obtained and access levels are assigned based on business need and site policies.
  • Coordinate contractor and vendor registration activities, maintaining required records, documentation, and site access permissions.
  • Generate and maintain reports related to access control, visitor management, contractor activity, and security system performance.
  • Daily operational support and other duties as needed or assigned.
