About The Position

The Facility Operations Coordinator, within the College of ACES, Extension Administration, is responsible for the effective management, operation, and security of multiple University of Illinois Extension facilities. This role serves as the primary facility point of contact, coordinates maintenance and remodeling, and ensures facilities support the operational needs and public-facing role of the Doris Kelley Christopher Illinois Extension Center. The position also involves managing physical inventory and safety protocols, including on-call responsibilities for emergencies.

Requirements

  • High School Diploma or equivalent.
  • Any one or combination totaling two (2) years (24 months) from the categories below: college course work in facility management, operations management, or a closely related field, as measured by the following conversion table or its proportional equivalent: 60 semester hours or an Associate’s Degree equals one (1) year (12 months) training from a vocational, technical, or an armed forces program which includes building operations such as coordination of building maintenance, construction management, hospitality, or closely related experience.

Nice To Haves

  • Working knowledge with technical and/or mechanical systems and services.
  • Working knowledge of custodial, grounds and housekeeping operations.
  • Basic understanding of structural, electrical, mechanical and security systems.
  • Basic schematics reading ability.
  • Computer skills and familiarity with Windows, MS WORD, MS EXCEL, AutoCAD, email, web browser and graphics software.

Responsibilities

  • Coordinate with University Facilities & Services (F&S) regarding custodial services.
  • Prepare workspace for incoming staff.
  • Plan and coordinate remodeling, custodial, grounds, housekeeping, and related maintenance activities within facilities.
  • Identify and initiate maintenance and repair activities for University of Illinois Extension facilities.
  • Identify scope of work for facilities and communicate to crafts and trades and/or outside contractors for quote.
  • Plan, coordinate, and schedule approved work, and maintain budget for the project scope.
  • Provide periodic and annual reports on operations of the University of Illinois Extension facilities and budget recommendations.
  • Assist building occupants with needs and develop plans to meet their physical facility requirements.
  • Prepare recommendations for improvements of facilities necessary for efficient operation.
  • Coordinate use of seminar and conference rooms and other areas if existing staff is not available.
  • Provide support for all University of Illinois Extension units pertaining to maintenance, space, and remodeling efforts at all owned/leased facilities within Illinois.
  • Assist in the space management of University of Illinois Extension facilities on campus.
  • Approve University of Illinois Extension building outages (both emergency and scheduled) and communicate with building occupants.
  • Ensure facilities operations support the Doris Kelley Christopher Illinois Extension Center’s role as a high-visibility, donor-supported, and public-facing facility.
  • Coordinate with campus units on energy efficiency, sustainability initiatives, and responsible use of utilities.
  • Assist in ensuring facilities meet ADA accessibility requirements and coordinate modifications or accommodations as needed.
  • Manage key control.
  • Maintain inventory of university property in coordination with Extension’s assigned inventory manager.
  • Responsible for maintenance, repairs, work orders, and installation of equipment.
  • Work with Procurement Official to complete the Biennial Physical Inventory of Equipment for University of Illinois Extension.
  • Maintain accurate physical and digital records related to inventory, warranties, service contracts, inspections, and equipment lifecycle using University-approved systems.
  • Schedule and perform annual fire safety inspections with Champaign and Urbana Fire Departments for facilities located in Champaign or Urbana proper.
  • Provide support in the development of plans regarding security and safety of University of Illinois Extension facilities.
  • On Call 24/7 to handle emergency calls, which may involve coming into the office and/or calling appropriate repair personnel.
  • Assist in the development, maintenance, and communication of emergency preparedness and continuity-of-operations plans for Extension facilities.
  • Serve as a liaison with emergency responders, law enforcement, and campus safety officials during incidents impacting Extension facilities.
  • Perform other duties as assigned.
