About The Position

Contribute to a positive school environment while providing welcoming customer service to ensure a positive school and work culture. Help to meet the diverse needs of our families in our NAEYC accredited program by communicating effectively. Our office and support staff bring joy, warmth, patience, and understanding to Imagination Station every day by creating meaningful relationships with families, staff, and community partners. Performs all job responsibilities in a safe and responsible manner. Completes tasks with a positive attitude and with the intention of Imagination Station’s success. Responsible for supporting compliance with all regulatory agencies and ensuring that systems support ongoing success. Perform duties in a way which encourages respect and personal responsibility. Writes, implements, and monitors procedures related to job tasks. Engage in reflective practice to improve systems and personal performance on an ongoing basis.

Requirements

  • EMPLOYMENT CONDITIONAL UPON RESULTS OF THE FOLLOWING: Successful Drug Screening. Successful Physical Capacities Examination and TB screen results. Criminal History Background Clearance.
  • Ability to create a positive working environment for both families and colleagues.
  • Physical capability, strength and coordination adequate to work with preschool children including, kneeling, stooping, bending, and sitting on the floor.
  • Physical capability, strength and coordination adequate to work in an office environment including lifting up to 50 lbs.
  • Required computer literacy: Office Suite, industry specific databases, social media applications, and e-mail.
  • Ability to maintain records on a computerized tracking system.
  • Frequent significant decisions to assure effective office environment.
  • Demonstrated ability to manage and monitor building operations
  • Ability to utilize time effectively, refrain from engaging in personal business.
  • Ability to exercise professional conduct in the workplace.
  • Conduct oneself with decorum while representing Imagination Station.
  • Ability to respond appropriately (both mentally and physically) to an emergency or a crisis situation.

Responsibilities

  • Office and building operations
  • Provides a safe environment with supervision of children in mind, consistently applying active supervision and emergency procedures; ensuring that staff maintain appropriate ratios and groups size at all times.
  • Demonstrates the highest quality customer service.
  • Fosters positive relationships with current and prospective clients.
  • Promotes program services.
  • Design, implement, and monitor procedures related to office and building operations and maintain necessary up to date reports and documentation, including but not limited to: enrollment, children’s records, AED check, fire marshal logs, licensing requirements, CCDF compliance, USDA records, family account information, and internal fiscal policies.
  • Maintains full enrollment, formulates transitions in collaboration with the Education Manager, and monitors the waitlist
  • Manages and monitors CCDF Voucher and CCA program. This includes informing parents on internal procedures, monitoring attendance records, reconciling payments, and ensuring program and client compliance.
  • Assists in overseeing building maintenance, cleaning, operations, inspections, and repairs
  • Execute day to day office operations including arranging staff scheduling and time and attendance monitoring, internal fiscal procedures, inventory an ordering, and configuring and monitoring family and employee data and files.
  • Maintain an organized work area and implement effective organizational system throughout common and storage areas in the building.
  • Ensures a clean, sanitary, safe and welcoming school environment through effective supervision of cleaning and maintenance staff.
  • Works in collaboration with office staff to ensure effective communication, monitor on-going projects, and maintain operations.
  • Creating files for all children being enrolled
  • Preparing employee files and supporting onboarding of new staff
  • Including all other assigned tasks
  • Provides support in the kitchen and during meal service time as needed
  • Provides classroom support as needed, serving as a sub or giving breaks when required.
  • Supports team by providing coverage for breaks, lunches and illnesses as needed
  • Support in the planning, development, and implementation of fundraising efforts.
  • Interact with other staff using the highest standards of professionalism.
  • Follow all agency policies and procedures
  • Organize time to allow for daily operations, project planning, and long term goals
  • Responsive to feedback. Demonstrate a willingness to implement new strategies.
  • Provide customer service in reception, greet, and direct visitors at the site.
  • Perform other relevant responsibilities as required by the program or assigned by Director.
  • Model the Respectful Workplace Policy when interacting with Imagination Station clients, community members, and colleagues.
  • Must be responsible, able to handle confidential material, able to organize effectively and able to work independently.
  • Assure that a positive image of Imagination Station is portrayed at all times.
  • Maintains confidentiality in alignment with and demonstrative of Standards of Conduct and NAEYC Ethical Statement of Commitment.
  • Maintain current, valid driver’s license and liability insurance at all times on any personal vehicle used to conduct Imagination Station business.
  • Obtain and keep current Adult and Pediatric CPR and First Aid certifications
  • Complete a minimum of 20 hours continuing education, based on individualized professional development plan.
