About The Position

The Facility Coordinator supports the Account Management team in the day-to-day delivery of facilities services for national commercial clients. This role plays an integral part in coordinating with service partners, monitoring service performance, and ensuring timely and high-quality service delivery across multiple client locations. The Facility Coordinator works closely with National Account Managers to support operational execution, client communication, service partner coordination, and work order management while helping maintain exceptional client satisfaction.

Nice To Haves

  • Experience with project management, CRM, or CMMS platforms preferred
  • Bachelor’s degree preferred
  • Industry experience in facilities management, landscaping, snow removal, property maintenance, or related field preferred
  • Experience coordinating vendors, subcontractors, or service providers is a plus

Responsibilities

  • Serve as direct support for National Account Managers by assisting with daily operational tasks and client service coordination
  • Interact regularly with service partners and clients through phone, email, and Computerized Maintenance Management Systems (CMMS)
  • Assist in creating, assigning, and tracking work tickets to ensure timely service delivery
  • Coordinate with dispatch teams and service providers to resolve scheduling issues, delays, or service concerns
  • Aid in the facilitation and validation of service requests across client portfolios
  • Support procurement efforts by sourcing new service partners as needed
  • Coordinate appointments and communicate service expectations with subcontractors and vendors
  • Build and maintain strong relationships with service partners to support service quality and coverage
  • Maintain accurate and current records of service partner information and activity
  • Function as a client advocate by working with internal departments to ensure client needs are understood and addressed
  • Refer client escalations and service concerns to National Account Managers for resolution
  • Support ongoing communication with clients to ensure a positive service experience
  • Remain current on company services, processes, and client expectations
  • Support tracking of key performance indicators (KPIs) and assist with identifying opportunities to improve service delivery
  • Maintain accurate data entry and documentation within internal systems and client platforms
  • Assist with administrative tasks related to work order management, vendor coordination, and reporting
  • Ensure professionalism, responsiveness, and accuracy in all communications and documentation
