About The Position

We are seeking a highly organized and service-oriented Facilities & Workplace Manager to oversee day-to-day office operations and create an exceptional workplace experience for our Boulder multi-site office. This role combines facilities management, workplace administration, health and safety leadership, and on-site employee support, while also providing HR and executive support. The ideal candidate thrives in a fast-paced environment, enjoys wearing multiple hats, and takes pride in ensuring the workplace runs smoothly and efficiently. This position is primarily focused on facilities and workplace operations (approximately 50%), with additional responsibilities supporting Human Resources initiatives and executive leadership based in Boulder.

Requirements

  • 3-5+ years of experience in facilities management, workplace operations, office management, or a related role.
  • Experience managing vendors, budgets, and workplace services.
  • Knowledge of workplace health and safety programs and compliance requirements.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office and Google Workspace.
  • Ability to manage multiple priorities independently and proactively.

Responsibilities

  • Manage all aspects of office facilities and workplace operations for the Boulder office.
  • Serve as the primary point of contact for building management, landlords, vendors, and service providers.
  • Coordinate office maintenance, repairs, cleaning services, security, access control, and workplace improvements.
  • Manage office supplies, equipment, furniture, and inventory.
  • Oversee workplace budgets, purchase orders, invoices, and vendor contracts.
  • Coordinate office events, meetings, catering, and employee engagement activities.
  • Ensure conference rooms, common areas, and office spaces are maintained to a high standard.
  • Support business continuity and emergency preparedness planning.
  • Serve as the Boulder site lead for Health, Safety, and Workplace Wellbeing initiatives.
  • Develop, drive, and continuously improve a proactive safety culture that promotes employee engagement, accountability, and awareness.
  • Lead site-wide health and safety programs, campaigns, training, and communications to encourage active participation across the workforce.
  • Partner with leaders and employees to identify risks, implement preventative measures, and foster a culture of safety-first decision making.
  • Champion employee involvement in safety initiatives through committees, feedback mechanisms, and workplace engagement activities.
  • Conduct workplace inspections, risk assessments, and safety audits, ensuring timely resolution of identified issues.
  • Manage incident reporting, investigations, corrective actions, and lessons-learned programs.
  • Maintain compliance with applicable health and safety regulations and company policies.
  • Coordinate emergency preparedness, business continuity planning, and response procedures.
  • Track, analyze, and communicate health and safety metrics, using data to drive continuous improvement and organizational awareness.
  • Provide on-site support for employee onboarding and offboarding activities.
  • Assist with new hire orientation, workspace setup, and employee experience initiatives.
  • Coordinate employee engagement programs and office-based HR activities.
  • Support local employee relations needs and serve as a liaison between employees and the broader HR team.
  • Assist with benefits communications, employee events, and workplace culture initiatives.
  • Provide administrative support to Boulder-based leaders and visiting executives.
  • Coordinate calendars, meeting logistics, travel arrangements, and visitor management as needed.
  • Assist with preparation for leadership meetings, presentations, and team events.
  • Support special projects and operational initiatives on behalf of leadership.
