About The Position

The Facilities supply clerk plays a key role in supporting the daily operations of the Facilities Department by managing contractor scheduling, coordinating onsite work, and overseeing supply purchasing. This position works directly for the Senior Manager of Facilities and in close coordination with the Lead Facility Technician to ensure maintenance, repairs, and projects are efficiently planned, communicated, and executed with minimal disruption to operations.

Requirements

High school diploma or equivalent
2 years experience with purchasing and reconciliation
Valid Florida driver's license and acceptable driving record

Nice To Haves

Experience scheduling contractors or coordinating facility-related work
Demonstrated experience with purchasing card reconciliation and financial tracking
Strong organizational and communication skills
Proficiency with Microsoft Office

Responsibilities

Coordinate and schedule contractors, service providers, and vendors for maintenance, repairs, inspections, and special projects
Process purchase requests and maintain inventory of facilities supplies, tools, and consumables
Track and order materials, supplies, and parts to support daily operations and planned work
Reconcile monthly purchasing card transactions and receipts in accordance with organizational policies
Assist with budget tracking, cost coding, and data entry into financial systems
Maintain work order documentation, logs, and reports
Support clerical tasks including filing, scanning, document control, and departmental correspondence
Assist with invoice processing and verification of completed work prior to payment
Safely operates OSC vehicle when picking up supplies offsite
Maintains a valid Florida driver's license and acceptable driving record as stipulated by OSC’s insurance carrier
Performs other related duties as assigned.
