About The Position

The Facilities/Safety Coordinator is responsible for the overall management, maintenance, safety, and operational functionality of all NKCAC facilities. This position ensures that NKCAC properties are safe, efficient, and well-maintained while operating in compliance with agency policies, local/state/federal regulations, and federal performance standards. The Coordinator collaborates with agency leadership, program directors, and site managers to maintain clean, secure, and functional facilities that promote quality service delivery to children, families, clients, participants, and staff throughout NKCAC’s service area.

Requirements

  • High school diploma or GED required; associate degree or construction certificate preferred.
  • Minimum of 5–10 years of experience in facility or property management, including HVAC, plumbing, and electrical systems.
  • OSHA certification preferred.
  • Strong working knowledge of building codes, safety regulations, and preventive maintenance practices.
  • Skilled in recordkeeping, work order systems, and basic computer applications.
  • Excellent organizational, written, and verbal communication skills.
  • Ability to handle multiple priorities across several sites.
  • Ability to work collaboratively with individuals from diverse socio-economic backgrounds.
  • Valid driver’s license and daily access to a vehicle.
  • Ability to push, pull, lift, and carry up to 75 pounds and perform manual tasks as needed.
  • Clear criminal background and no record of child abuse or neglect.
  • Ability to push, pull, lift, and carry up to 75 pounds up to 80% of the time
  • Ability to bend, crawl, and stretch overhead up to 50% of the time
  • Ability to sit, read, and type at a computer for up to 25% of the time

Responsibilities

  • Oversee day-to-day upkeep, janitorial contracts, and maintenance across all NKCAC facilities, including Head Start locations.
  • Supervise contracted janitorial staff and coordinate facility cleaning schedules.
  • Solicit bids from approved vendors and ensure compliance with NKCAC purchasing procedures.
  • Maintain an adequate inventory of supplies and equipment necessary for facility operations within budget guidelines.
  • Conduct weekly inspections of all facilities to assess maintenance and repair needs.
  • Perform or coordinate general repairs (painting, drywall, ceiling tiles, etc.) as needed.
  • Oversee preventive maintenance of building systems, including HVAC, plumbing, electrical, and mechanical equipment.
  • Maintain grounds and property, including lawn care, landscaping, snow/ice removal, and parking lot upkeep.
  • Ensure proper maintenance and storage of all cleaning equipment, tools, and supplies; maintain clean and organized storage areas at each site.
  • Coordinate and assist with furniture, file, and equipment moves for offices and classrooms.
  • Support with the management of leases, mortgages, and facility-related contracts.
  • Oversee maintenance and repair plans for all NKCAC vehicles.
  • Submit bids, purchase orders, and invoices in accordance with NKCAC policies.
  • Monitor building security systems, alarms, and camera systems; address safety or security concerns promptly.
  • Ensure up-to-date inspections (fire, sprinklers, health, alarms, extinguishers, and building).
  • Provide or arrange staff training related to facilities, maintenance, and safety procedures.
  • Participate in agency planning and development activities related to facilities or capital improvements.
  • Conduct and review monthly facility safety checklists for all locations.
  • Maintain OSHA compliance, chemical/hazardous materials records, and safety data logs.
  • Review and document fire and evacuation drills across all sites.
  • Ensure facilities comply with all agency, federal, state, and local safety regulations.
  • Participate in Health and Safety advisory councils and ensure alignment with Head Start and other program requirements.
  • Support emergency preparedness planning and coordinate responses to building-related incidents.
  • Collaborate with all program components to support facility needs and compliance.
  • Maintain confidentiality of staff, clients, and agency information.
  • Attend staff meetings, trainings, and professional development sessions as required.
  • Maintain accurate records, reports, and documentation in systems such as ChildPlus and facility management software.
  • Assist in recruiting volunteers and securing in-kind donations when applicable.
  • Submit monthly reports and performance documentation.
  • Perform other duties as assigned
