About The Position

The Facilities Assistant position is responsible for assisting the Facilities Management Department with the project development and day-to-day facilities operations. The duties support hands-on experience in planning, analytical and operational functions while advancing the department's overall mission and embodying the Cal Poly Learn by Doing philosophy. Requirements

  • Must be in good conduct standing with the University when appointed and for the duration of the employment period.
  • Undergraduates must be in good academic standing (minimum cumulative GPA of 2.5 and for each semester while employed)
  • Must have availability to work a varied work schedule
  • Must be able to lift, carry, push, pull 30 pounds regularly/occasionally
  • Must be able to ascend and descend stairs (three (3) flights of stairs)
  • Ability to work in a diverse environment with college students, parents, guardians, and guests
  • Self-motivated and able to work independently with nominal supervision
  • Excellent time management, communication, administrative, organizational, and customer service skills
  • Ability to respond to safety and emergency situations
  • Ability to maintain confidentiality
  • Proficient use of basic computer applications
  • Must understand and support the University Housing Services Mission, Goals, and Values
  • Must be available days, nights, weekends, and holidays as scheduled
  • Satisfactory completion of a background check is required for employment.
  • Applicants must provide proof of U.S. citizenship or authorization to work in the United States within three days of the date of hire.

Nice To Haves

  • Students with relevant coursework may also work with AutoCAD, Revit, GIS, or other design software, create project dashboards and data visualizations, or assist with sustainability, energy, or facilities assessments.

Responsibilities

  • Filing and organizing project documents
  • Maintaining digital records and project databases
  • Preparing meeting agendas and taking meeting notes
  • Assisting with correspondence and communications
  • Maintaining accurate logs of tasks accomplished, project updates, pending action items, and other relevant information to support communication among project team members
  • Updating project management software and spreadsheets
  • Gathering data for project reports and presentations
  • Assisting with project coordination activities related to campus capital improvement projects across the Cal Poly Maritime campus
  • Supporting project site visits by documenting observations, tracking project progress, and assisting with project-related field activities as appropriate
  • Conducting research on facilities, space utilization, and campus needs
  • Collecting, analyzing, and maintaining data related to building usage, space inventories, and infrastructure
  • Surveying and reporting the condition of campus spaces
  • Assisting with space assessments and documenting facility conditions
  • Creating maps, charts, reports, and other documentation to support planning studies and projects
  • Assisting with building preparation for moves, renovations, events, or occupancy changes
  • Moving, organizing, and storing equipment and materials as needed
  • Inventorying room furnishings, equipment, and other campus assets
  • Updating inventory records and reporting discrepancies
  • Performing routine service calls and responding to basic facilities-related requests
  • Work with AutoCAD, Revit, GIS, or other design software
  • Create project dashboards and data visualizations
  • Assist with sustainability, energy, or facilities assessments
