About The Position

Benesch is seeking a Facilities Manager for its Cleveland office. This hybrid role offers work-from-home flexibility and is ideal for an experienced professional who enjoys overseeing facilities and ensuring smooth operations for internal clients. The Facilities Manager will work closely with the Director of Facilities to execute matters efficiently and maintain the functionality of all firm facilities. The position involves overseeing the appearance, maintenance, and overall functionality of physical facilities and related assets across a multi-office AmLaw 200 law firm. This role requires a hands-on, service-oriented approach, strong vendor and project management skills, and the ability to operate effectively across multiple locations, in partnership with local Office Administrators to ensure firmwide consistency and standards.

Requirements

  • Bachelor's degree or equivalent experience.
  • 3-5 years of facilities management experience, preferably within a law firm or professional services environment.
  • Demonstrated experience managing vendors and contracts.
  • Demonstrated experience managing multi-site operations.
  • Proven ability to build effective working relationships with Office Administrators, office leadership, and cross-functional teams.
  • Experience supporting office moves, renovations, or construction projects is desired.
  • Strong organizational skills.

Responsibilities

  • Oversees general office and building maintenance, including asset procurement, preventative maintenance, cleaning, and related service contracts.
  • Ensures timely resolution of facility issues (e.g., HVAC, doors, flooring, appliance and equipment, finishes, and overall physical workplace conditions) in coordination with vendors, Office Administrators, building site management, and landlords.
  • Tracks the status of requests made through building-specific maintenance portals to ensure timely resolution of maintenance and building-related issues.
  • Serves as a primary liaison to Office Administrators, addressing office-specific physical asset needs while maintaining firmwide standards.
  • Forwards and tracks progress on project-related A/V, telecommunications, connectivity hardware, and infrastructure needs to the Benesch IT Team, ensuring coordination with appropriate project teams, property management, and specialized vendors.
  • Reviews and negotiates contracts for supplemental services (e.g., HVAC maintenance, fire extinguisher certification, janitorial services, appliance/equipment maintenance, furniture cleaning/repair, artwork, and plant services) to ensure service quality, compliance, and cost control.
  • Reviews vendor invoices for accuracy and submits them for timely processing and payment.
  • Plans, coordinates, and executes small to medium intra-office personnel moves by organizing logistics, communicating with affected personnel, Office Administrators, and building management, and coordinating cross-functional teams.
  • Supports large office moves, reconfigurations, and space planning as requested.
  • Assists with small construction and office improvement projects, including vendor communication, scheduling, and status updates, coordinating with building management and Office Administrators to minimize business disruption.
  • Manages the furniture lifecycle (repair, replacement, installation, maintenance, and cleaning) and drives standardization of furnishings and related supplies across offices.
  • Coordinates the procurement and upkeep of workplace assets and equipment, including appliances, carpets, floor mats, signage, artwork, and plants.
  • Routinely travels to various firm offices to proactively maintain office aesthetics/appearance and asset-related functionality.
  • Performs other duties as requested/assigned.
