About The Position

Scion is a leader in student living, and the Facilities Manager is a crucial member of the team, responsible for ensuring the safety and functionality of the property’s buildings and equipment. This role oversees the onsite Facilities team and third-party vendors, ensuring optimal service delivery. The Facilities Manager is an expert leader who thrives in a fast-paced, agile, collegiate environment, requiring superior problem-solving skills, leadership, and unwavering follow-through. This position may also be called upon to support other properties.

Requirements

  • High school diploma/GED, trade school diploma, or military training
  • 8 years of relevant experience managing building systems in multi-unit residential properties
  • 5 years of supervisory experience
  • 5 years’ experience with building automation systems, and life safety systems
  • EPA 608 Universal certification
  • HVAC/EPA 608 Universal certification
  • Certified Pool Operator (CPO), or intention to obtain within six months
  • Expertise in plumbing, HVAC, electrical, and mechanical systems, as well as generally accepted maintenance practices
  • Boiler operator or Stationary Engineer Certificate/License
  • Ability to read and interpret documents such as design drawings, blueprints, safety guidelines, operating and maintenance instructions, and procedural manuals
  • Ability to manage multiple projects simultaneously, set priorities, and meet deadlines
  • Basic computer working knowledge, including Microsoft Office and CMMS
  • Valid driver’s license
  • Ability to stand 8 hours or longer per day and lift up to 100 lbs. as necessary

Responsibilities

  • Manage all building services and preventative maintenance programs in accordance with industry best practices, Scion’s Standard Operating Procedures, and State/Federal Govt./OSHA’s Codes/regulations.
  • Oversee day-to-day operations including HVAC, plumbing, fire protection, general building maintenance, troubleshooting, and building automation systems.
  • Monitor systems, provide diagnostics, preventative maintenance, annual testing, permitting, and certification for major building systems such as chilled water systems, air handling units, boilers, plumbing, building automation systems, electrical distribution, generators, UPS, elevators, parking structures, gates, roofing systems, facade systems, and more.
  • Operate and manage all life safety systems, including fire pumps, fire alarm panels, sprinkler systems, alarms, backflow preventers, detectors, fire extinguishers, emergency lighting, and means of egress.
  • Prioritize and schedule maintenance work, ensuring quality consistent with Scion’s standards.
  • Manage Facilities Technicians to ensure timely and accurate completion of service requests.
  • Manage facilities budgets.
  • Review completed work for conformance to standards or repair requirements.
  • Ensure all emergency and routine maintenance/repairs are carried out in a timely and professional manner.
  • Ensure all Preventive maintenance is carried out in a timely and professional manner.
  • Respond promptly and effectively to all safety/risk-management-related issues.
  • Review completed work orders for accuracy of labor hours, materials’ cost, and track recurring equipment failures.
  • Conduct regular inspection tours of buildings, common areas, property exteriors, equipment, and grounds for deficiencies, safety hazards, health concerns, or code violations.
  • Prepare written reports summarizing findings and advise other building users as appropriate.
  • Provide recommendations for dealing with identified problems.
  • Oversee and supervise “Turn” preparation, including inspection of vacated units, making necessary repairs and charges, and ensuring completion.
  • Inspect vacant units after repairs and maintenance to ensure quality and readiness.
  • Manage the maintenance spare parts and tools inventory, determining stock levels and working with the General Manager to maintain inventory.
  • Ensure shop appearance and all mechanical, supply, electrical, and storage facilities are maintained.
  • Ensure proper maintenance of equipment to comply with warranties and extend useful life.
  • Oversee all contracted work, obtaining bids and negotiating prices with vendors and contractors, as approved.
  • Coordinate deliveries, schedules, and performance of all facility-related contractors.
  • Ensure proper safety procedures, personal protective equipment usage, and health & safety policies are followed.
  • Manage the process for keying and coring/coding of locks, and maintain lock procedures, logbooks, and key management protocols.
  • Effectively implement standard operating procedures and preventive maintenance programs.
  • Participate in emergency preparedness planning and act as essential personnel during emergencies.
  • Escalate unique or urgent repairs/replacements to the General Manager and Regional Facilities Manager.
  • Maintain records on all major systems, including maintenance manuals, manufacturer’s specifications, warranties, and equipment information.
  • Collaborate with the General Manager and Regional Facilities Manager to manage, formulate, and track facilities and capital budgets.
  • Hire, train, and develop Facilities team members, holding them accountable for high-level service delivery.
