About The Position

The Facilities Manager is responsible for the strategic oversight, coordination, and execution of all facilities operations across Renaissance Social Services’ (RSSI) portfolio of sites. This role ensures that all facilities are safe, functional, compliant, and well-maintained to support the delivery of high-quality services to clients and staff. The Facilities Manager leads maintenance activities, manages vendor and contractor relationships, oversees facilities-related compliance, and provides supervisory direction to facilities support staff. This position serves as the primary point of contact for all facility-related matters across the organization.

Requirements

Associate’s degree or higher in Facilities Management, Construction Management, Business Administration, or a related field required; Bachelor’s degree preferred. Equivalent combination of education and experience will be considered.
Minimum of 5+ years of progressive, verifiable experience in facilities management, building operations, or a related field, with at least 2 years in a supervisory or lead role.
Demonstrated knowledge of building systems (HVAC, plumbing, electrical), life-safety equipment, and preventative maintenance best practices.
Experience managing vendor and contractor relationships, including procurement, scope development, and performance oversight.
Familiarity with OSHA regulations, ADA accessibility standards, and applicable local building and fire codes; experience with regulatory site visits preferred.
Must possess a valid driver’s license with a clean driving record; fleet management experience is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with facilities management software or work order systems preferred.
Strong organizational, written, and verbal communication skills; ability to manage multiple priorities across multiple sites simultaneously.
Ability to lift 50 lbs, climb ladders, perform repetitive motions, and stand for extended periods as operationally required.

Responsibilities

Oversee and coordinate all preventative and corrective maintenance activities across RSSI facilities, including plumbing, electrical, HVAC, carpentry, and general building systems.
Develop, implement, and monitor a multi-site preventative maintenance schedule to extend the life of building systems, equipment, and assets.
Conduct or delegate routine and specialized inspections of mechanical systems, life-safety equipment (fire extinguishers, exit signs, emergency lighting), and building infrastructure.
Manage interior refresh and capital improvement projects including drywall, painting, flooring, and space reconfiguration.
Oversee furniture installation, equipment mounting, and space readiness for new or relocated programs.
Source, evaluate, and manage relationships with third-party vendors and contractors for specialized trades (electrical, plumbing, HVAC, roofing, pest control, cleaning services, etc.).
Prepare and review scopes of work, obtain competitive bids, and make recommendations for contractor selection consistent with RSSI procurement guidelines.
Monitor contractor performance, ensure work is completed to specification and on schedule, and manage warranty and service agreements.
Oversee daily sanitation standards across all RSSI facilities, including high-traffic areas, offices, restrooms, and program spaces.
Manage or supervise floor care, waste disposal, and biohazard management in compliance with applicable standards.
Monitor and manage inventory of facility cleaning supplies, paper products, and janitorial equipment; establish reorder thresholds and procurement processes.
Oversee maintenance and compliance of RSSI’s organizational vehicle fleet, including scheduling of oil changes, tire rotation, safety inspections, and registration renewals.
Maintain accurate records of vehicle service history, incident reports, and driver compliance with fleet policy.
Track, inventory, and manage tools, equipment, and facility assets; coordinate repair or replacement as needed.
Ensure all facilities, work areas, and storage spaces meet applicable OSHA, IDHS, ADA, and local building code requirements.
Serve as the organizational point of contact for facilities-related regulatory inspections and site reviews, including IDHS BALC site visits and other funder or licensing inspections.
Develop, maintain, and distribute facilities-related policies and procedures, including safety plans, emergency protocols, and corrective action logs.
Respond promptly to emergency facility situations; develop and maintain an on-call response protocol for after-hours incidents.
Provide direct supervision, scheduling, and performance management for facilities support staff (e.g., Facilities Maintenance Technician, janitorial staff).
Conduct regular one-on-one meetings, performance reviews, and development planning conversations with direct reports.
Identify training needs and coordinate skills development opportunities to strengthen the facilities team’s capabilities.
Assist in the development and management of the facilities operating budget; track expenditures and identify cost-saving opportunities.
Maintain accurate records, logs, and documentation for all maintenance activities, inspections, vendor contracts, and fleet management.
Prepare regular facilities status reports for the COO and leadership team, including open work orders, inspection findings, and capital planning recommendations.
