Shields Health is looking for a full-time Facilities Coordinator, Monday-Friday 11:30am-8:00pm. On call is required every 4 weeks, as well as occasional travel to our clinical locations. A. PURPOSE AND SCOPE Provide direct support and organization to the RE & Facilities Department in an efficient and effective manner. B. PRIMARY RESPONSIBILITIES Ensure Maintenance Requests are processed, assigned and communicated in a timely organized manner Assist with new center projects, renovations & building improvements including schedules, communications and document production. Liaisons with various contractors and vendors who service properties. Assist with budgets and financial reporting for the Dept. Manage regulatory requirements for the Dept. Maintain current contracts by organizing administratively. Maintain lease administration by keeping lease documents organized, updating spreadsheet on lease details, draft letters to landlords as requested, and communicating lease details to finance team. Coordinate Center & Company Standards and Specifications Oversee and Manage the Dept Filing System Manage Dept internal & external communications and marketing Coordinate all Dept initiatives Effectively handle call and facilities emergencies after hours as assigned Assist with license and regulatory requirements for the department It is not intended that this Job Description include all details of the work functions of this position. Requirements

  • High school diploma or equivalent required.
  • College level courses desirable.
  • Two or more years experience in a fast paced administrative or clerical role.
  • Proficiency in Excel, PowerPoint, Word, and web research required.
  • Excellent communication and organization skills.
  • Ability to sit, stand and walk for extended periods of time with or without reasonable accommodation.

Nice To Haves

  • Background in regulatory compliance and experience in an imaging facility helpful.
