We're seeking an experienced Facilities Coordinator to serve as the primary liaison for building operations, employee support, and vendor management. This individual will ensure smooth day-to-day operations, compliance with safety standards, and support long-term facilities projects. Requirements

  • High school diploma or equivalent required; some college preferred.
  • 8-10 years of relevant facilities experience, including time in a lead capacity.
  • Strong written and oral communication, organizational, interpersonal, and customer service skills.
  • Proficiency in Office 365 and internet research tools.
  • Working knowledge of company policies and procedures preferred.
  • Ability to work independently and collaboratively across teams.
  • Skilled at managing priorities under time constraints and meeting deadlines.
  • Strong attention to detail with the ability to apply knowledge directly to daily work.
  • Familiarity with facility maintenance codes and worker safety regulations.
  • Excellent verbal communication skills for clear instruction and collaboration.

Responsibilities

  • Act as main point of contact for facility and building management needs.
  • Manage vendor and service provider activities.
  • Partner with Facilities Manager/Director on approvals, reporting, and project reviews.
  • Support office safety initiatives including emergency plans, inspections, and committee participation.
  • Oversee compliance with corporate standards, safety policies, and sustainability reporting.
  • Maintain SDS documentation, AEDs, fire extinguishers, and first aid supplies.
  • Coordinate employee onboarding/offboarding with HR and IT.
  • Manage office seating charts using Archibus.
  • Provide oversight to facility staff as needed.
  • Prepare monthly reports and contribute to annual budget planning.
  • Attend regular facilities team meetings and take departmental meeting notes.
