About The Position

MileOne is seeking a detail-oriented and proactive Facilities Coordinator to support our Real Estate & Facilities team. This role provides operational support to ensure the efficient maintenance, operation, and coordination of MileOne facilities across multiple locations.

Requirements

  • 1–3 years of experience in facilities operations, site coordination, or a related role
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Strong organizational, time management, and multitasking skills
  • Excellent communication, customer service, and vendor management skills
  • Self-starter with strong attention to detail and ability to work independently
  • Team-oriented with a willingness to learn and grow
  • Ability to sit, stand, kneel, and bend for extended periods
  • Ability to communicate effectively with staff and external partners
  • Valid driver’s license required

Nice To Haves

  • Automotive dealership or multi-site experience is a plus

Responsibilities

  • Serve as the primary point of contact for all facility work order tickets, ensuring timely assignment, follow-up, and closure
  • Coordinate maintenance and repairs with internal maintenance technicians, vendors, and dealership personnel
  • Track projects, vehicles, maintenance costs, and work order trends; prepare reports for leadership
  • Support small capital projects, including obtaining quotes, reviewing invoices, and tracking spend
  • Manage vendor relationships, contracts, RFPs, and competitive bidding processes
  • Maintain accurate facility records, documentation, and preventive maintenance schedules
  • Draft and distribute internal communications, memos, and process documentation
  • Collaborate with internal departments (MIS, HR, Accounting, Dealership Leadership) on facility needs
  • Provide general administrative support, meeting coordination, and special project assistance as needed
  • Compile and maintain records of the business transactions and office activities of the dealership.
