About The Position

IST Management is seeking a reliable, customer focused Facilities Coordinator for the Norwalk team! The Facilities Coordinator will serve as the primary contact for both internal and external customers seeking support and information, and will be responsible for all office facility activities at the site office location. Additionally, the Facilities Coordinator will supervise vendors, contractors, and third parties performing office related duties at the location. Ideal candidates will have prior facilities experience, possess high customer service standards, are self-led, and willing to train as necessary. Prior relevant supervisor experience is a plus. Hourly Compensation: $20.00-20.50 USD, depending on experience Schedule: Monday-Friday (8:00am-5:00pm)

Requirements

  • High school diploma or equivalent; Associates degree a plus
  • 2 years of facilities/office management experience
  • Knowledge of electronic work order programs, SAP system.
  • Experienced in managing overall maintenance of mechanical, electrical, and plumbing building systems
  • Professional appearance and demeanor
  • Good listener with strong verbal and written communication skills
  • Proficiency in MS Office, creating/maintaining spreadsheets, and basic financial analysis
  • Focused on problem solving while having a great customer service and “team” attitude
  • Ability to build strong internal and external relationships with building management, coworkers, and vendors
  • Ability to meet employer's attendance policy
  • Highly organized and ability to manage multiple projects simultaneously
  • Work independently without regular direct supervision
  • Strong follow up skills to ensure successful project completion
  • Expectation to gain strong understanding and application of company policies
  • Ability to meet employer's attendance policy
  • A valid driver’s license and/or reliable transportation to and from work
  • Willingness to cross-train for other job functions

Nice To Haves

  • Facilities Management Professional (FMP) or Certified Facility Manager (CFM) designation a plus. An uncertified hire would be expected to earn at least one designation within 2 years
  • Prior experience in managing and/or negotiating lease, vendor, and small construction and other legal contracts preferred

Responsibilities

  • Manage all incoming, and outgoing shipments, including delivering shipments
  • Assist in boxing up and labeling boxes prior to the shipment
  • Daily building, kitchen plumbing, lighting and conference room checks
  • Re-arrange conference rooms as needed upon request
  • Deliver water for meetings
  • Office/workstation clean-out and reset for exiting, and incoming employees
  • Back up on-site manager and staff as needed
  • Create building work orders for issues on-site, ie: ballast changes, hvac changes and monitor the situation, etc.
  • Change broken light-bulbs, repair chairs, hang pictures, fix outlets, and fix cubicles and bulletin boards; Picture and whiteboard hanging
  • Periodic painting
  • Manage facilities e-mail and respond to every request
  • Bulk trash pick-up, order dumpster get rid of a dumpsters worth of trash in a day
  • Enforce fire procedures during alarms, and ready if needed for a real world situation
  • Monitor vendors like electricians, plumbers, major repairs, and installations
  • Escort vendors on-site that need certain access to the building
  • Weekly check on First Aid kits and restock all kits as needed
  • Responsible for back-up keys to desks, and cabinets. Uses Locksmith vendor as needed
  • Clean all refrigerators monthly
  • Monitor building storage and organize as needed
  • Other tasks as assigned by manager
