What this job involves: This position provides comprehensive facility management services including continuous monitoring of facilities and coordination with engineering and facilities managers. The role involves managing routine operations, procurement activities, vendor relationships, and supporting special events while serving as a key interface with clients, visitors, and service providers to ensure seamless facility operations with minimal disruption.

Requirements

  • Associate's degree in facilities management, building, business, or related field
  • 2+ years of experience in facility or property administration
  • Superior customer service skills and orientation
  • Proficient in MS Office with strong written, verbal, and interpersonal skills
  • Ability to maintain professionalism under stressful situations
  • Strong organizational skills and collaborative work style
  • Ability to plan and manage work under time constraints and multitask without direct supervision
  • Proficiency in Excel spreadsheets with capability to customize administrative reports
  • Candidates must be authorized to work in the United States without employer sponsorship.

Responsibilities

  • Assist Facility Management Team with tactical planning for team goals and objectives
  • Coordinate special events in support of client or JLL initiatives
  • Manage procurement of property supplies and services, including issuing purchase orders and managing bid requests
  • Coordinate and schedule maintenance activities across regional facilities
  • Provide support for meetings and conference room reservations as needed
  • Act as primary interface with clients, visitors, guests, and vendors to ensure excellent coordination
  • Assist with budgetary requests, analysis, reporting, and researching budget variances
  • Manage service and construction contracts while overseeing vendor relationships
  • Provide facility-specific assistance to the facilities management team as requested
