About The Position

Oversee all activities inside a building, making sure that health and safety standards are met and arranging for repairs when needed. This role is responsible for maintaining the physical space, ensuring a safe, clean, and functional environment, and acting as a liaison between employees and outside contractors. The Facilities Coordinator will also manage various programs such as hazardous waste disposal and paper recycling, coordinate cleaning services, and maintain important records and security systems.

Requirements

  • Three years related facilities experience.
  • Three years customer service experience working in an office environment.
  • Excellent communication skills, both verbal and written.
  • Excellent team skills and team oriented.
  • Excellent time management skills and meets deadlines.
  • Flexible; able to multi-task in response to time-sensitive and changing situations.
  • Effective listening skills.

Responsibilities

  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Responsible for visitor(s) screening, notification and verification.
  • Coordinate’s maintenance requests and ensures problems are resolved quickly.
  • Acts as liaison between employees and any outside contractors needed to resolve facility problems.
  • Monitor and coordinate preventive maintenance schedules for buildings and equipment with facility owners.
  • Manages hazardous waste disposal programs.
  • Manages the paper recycling program.
  • Coordinate’s cleaning services for buildings.
  • Maintains up-to-date records for all inspections, including HVAC monitoring for OR OSHA COVID requirements.
  • Complete COVID required workplace cleaning daily.
  • Maintain and monitor building security system.
  • Monitor office supply stock and reordering.
  • Maintain conference room schedule, food and beverage requests. Coordinate offsite meetings as needed.
  • Answer and route incoming calls.
  • Maintain and update employee directory.
  • Maintain and ensure regulatory and business documents are on file, organized and up to date.
  • Coordinate communication with utility companies.
  • Other duties as assigned.
