About The Position

BASF/Chemetall, is the Surface Treatment global business unit of BASF’s Coatings division, operating under the Chemetall brand, and a leading supplier of applied surface treatments worldwide. At BASF/Chemetall, we develop and manufacture tailor-made technology and system solutions for applied surface technology. Our products protect metals from corrosion, facilitate forming and treatment, prepare parts optimally for the painting process and ensure excellent coating adhesion. Our technologies and products are used in a variety of industries and end markets such as automotive, aerospace, aluminum finishing and metal forming. The chemical treatment of metal surfaces is BASF/Chemetall core competence. The focus of our worldwide activities is on the development and implementation of customized technology and system solutions for surface treatment. We are looking for a Facilities Assistant to join our team in New Providence, NJ. The Facilities Assistant provides day‑to‑day administrative, coordination, and operational support to the Site Manager and facility leadership team. This role helps ensure smooth site operations by managing purchase orders, scheduling vendors and contractors, maintaining compliance documentation, supporting health and safety programs, and assisting with supervision of facility staff. Requirements

  • High school diploma or equivalent; associate degree or bachelor’s degree preferred.
  • 2+ years of experience in facility operations, administrative support, project coordination, or similar roles.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Excellent organizational, communication, and time‑management skills.
  • Ability to work independently, multitask, and manage competing priorities.
  • On-site position located in New Providence, NJ.

Nice To Haves

  • Experience in manufacturing, facilities management, construction, chemical operations, or environmental health and safety.
  • Knowledge of Responsible Care® principles or similar compliance frameworks.
  • Familiarity with purchase order systems (SAP, Oracle, etc.) and vendor management processes (Avetta).
  • Experience assisting with safety programs, SOPs, or training administration.

Responsibilities

  • Prepare, submit, and track purchase orders, invoices, and procurement requests.
  • Assist in managing vendor and contractor scheduling, site access, and work coordination.
  • Maintain site calendars, work schedules, facility service requests, and project timelines.
  • Issue and document Safe Work Permits (SWP), ensuring contractor and employee compliance with safety requirements.
  • Ensure building, safety, environmental, and Responsible Care® policies remain current, accurate, and compliant with corporate and regulatory standards.
  • Assist with updating Standard Operating Procedures (SOPs), emergency response plans, and compliance documentation.
  • Monitor compliance tasks, audits, and corrective action items, ensuring timely completion.
  • Assist the Site Manager supporting facility staff and contractors.
  • Help oversee daily operations to ensure safe, productive, and efficient workflow.
  • Support facility maintenance activities by coordinating preventive maintenance schedules and service requests.
  • Communicate effectively with site personnel regarding updates, and policy changes.
  • Provide backup support to Shipping/Receiving – loading, unloading, labeling boxes, etc.
  • Serve as a point of contact for external vendors and service providers.
  • Verify contractors meet site safety, documentation, and compliance requirements.
  • Assist EHS department with contractor onboarding, work permits, and daily coordination during on‑site activities.
  • Maintain training records and track employee certifications.
  • Identify opportunities to improve administrative processes, documentation accuracy, and operational efficiency.
  • Support site initiatives such as safety campaigns, audits, EHS inspections, and facility improvement projects.
