About The Position

The Oregon Shakespeare Festival (OSF) is seeking a highly organized and detail-oriented Facilities Assistant to support daily operations across our Facilities department. This role combines administrative coordination, operational support, and project tracking to help ensure OSF’s buildings, workspaces, and systems run efficiently. As a Facilities Assistant, you’ll provide critical support to the Associate Director of Facilities and Custodial leadership. You’ll coordinate work requests, manage key and inventory systems, track budgets and purchasing, and serve as a central point of communication between Facilities, vendors, and internal departments. Your work will help ensure OSF’s campus remains functional, organized, and responsive to operational needs.

Requirements

  • Have a GED or equivalent , with prior office, clerical, or administrative experience.
  • Are highly organized and detail-oriented, with the ability to manage multiple priorities simultaneously.
  • Communicate effectively with a wide range of stakeholders, including staff, vendors, and contractors.
  • Are proficient in Microsoft Office (Excel, Word) and comfortable with systems like SharePoint.
  • Can work independently, follow through on tasks, and adapt to changing priorities.
  • Hold a valid Oregon driver’s license and can pass a background check.
  • Ability to lift up to 40 lbs.
  • Ability to climb stairs and ladders and work in occasionally noisy or dusty environments.
  • Standard schedule is Monday–Friday, 7:00am–3:30pm.

Nice To Haves

  • Experience supporting facilities, operations, or maintenance teams.
  • Strong writing, proofreading, and basic math skills.
  • Experience working in fast-paced, multi-department environments.

Responsibilities

  • Assist with day-to-day planning, prioritize and distribute work requests, and support Facilities staff scheduling and communications.
  • Maintain key inventory systems, assign and track keys and access cards, and support contractor/vendor access.
  • Track department budgets, code invoices, manage credit card transactions, and coordinate purchasing of supplies and equipment.
  • Maintain inventory for Facilities supplies (lighting, HVAC, plumbing), manage warehouse and storage areas, and coordinate deliveries.
  • Track vehicle mileage, fuel, repairs, and maintenance; coordinate servicing and support vehicle purchasing research.
  • Manage and install signage across campus, coordinate with vendors, and support campus-wide needs.
  • Schedule meetings, prepare agendas and notes, maintain SharePoint updates, and track on-call schedules.
  • Assist with UKG time tracking, IATSE tracking, and troubleshooting basic IT-related issues in coordination with IT.
