About The Position

This position is located at the entrance of the SCI Lafayette Office and reports to the Chief Development Officer . The Facilities Administrator is responsible for handling a wide range of administrative, office support, and shop duties. Proficiencies: Microsoft Office (Outlook, Word, Excel) Google Essential Duties and Responsibilities The essential functions of the position include, but are not limited to, the following: Front Office & Customer Experience Greet all visitors, clients, subcontractors, vendors and Team members in a courteous and professional manner at our Lafayette Office location. Answer phone, route phone calls, take messages. Gather and disburse mail and packages Assist departments throughout the organization with various administrative tasks and duties when required/needed. (ex. Copying, printing, laminating, etc.) Manage the front desk and reception area, ensuring it is on-brand, clean and client-ready. Manage office, kitchen and custodial supply inventories, vendor relationships and marketing materials stock (business cards, branded swag, etc.) Stock client fridge Administer and manage Lafayette office machines including company phone system, Supervisor / office printers Oversee the cleaning company maintaining communication with them when issues arise Manage company cell phone account working with employees on phone issues and updates; reconcile the cell provider invoice charging phones, tablets, Wi-Fi units, etc. to the proper jobs and departments Facilities / Shop Responsibilities Post current training calendar in training room Refill Shop forms Assist with coordinating Lafayette jobsite cookouts Empty office recycling containers weekly Keep shop clean and organized, broom swept weekly, at a minimum. Wash and vacuum company vehicles as needed Take phone calls from site Supervisors and prepare tools and equipment for pickup Receive tools and equipment from job sites Maintain items in office, including ordering / changing all furnace filters (yearly), changing light bulbs, etc. Keep outside storage boxes and racks clean and organized Keep snow shoveled and sidewalks clean and salted as needed Perform other duties as assigned to meet organizational needs Communicate with Logansport Shop Foreman for material, equipment, and tool transfers

Requirements

  • High school diploma or equivalent preferred
  • Valid driver’s license
  • Reliable transportation
  • Requires clear communication and excellent interpersonal skills
  • Punctuality
  • Organized and proactive
  • Requires strong work ethic, attention to detail and multitasking
  • Previous experience in clerical, secretarial or administrative assisting position
  • Strong knowledge of customer service
  • Ability to deal with frequent interruptions and shifting priorities
  • May deal with tight deadlines or demanding personalities in a professional manner
  • Ability to sit, stand, and walk for extended periods
  • Ability to perform repetitive hand and keyboarding motions
  • Ability to lift and move objects and packages up to 50 pounds

Nice To Haves

  • Acquire or retain forklift certification preferred (in-house training)
  • For Hire driver’s license preferred
