About The Position

The Role: The CMMS Administrator is responsible for the day-to-day administration, accuracy, and Auditing effectiveness of the Computerized Maintenance Management System (CMMS) within a retail warehousing or distribution center environment. This role ensures the maintenance of data integrity, supports preventive maintenance execution, manages assets and inventory records, and provides reporting that enables safe, reliable, and cost-effective facility operations. The CMMS Administrator works closely Moreno Valley Facilities/Maintenance, Operations, Safety, Procurement, and external service providers to ensure all maintenance activities are properly documented, tracked, audited and optimized through the CMMS. Responsibilities · CMMS Administration & Data Integrity · Esker Administration and Data Integrity · Preventive Maintenance & Work Management · Audit Inventory · Audit Invoices · Ensure department is within budget · Audit Inventory, Parts & Procurement Support · Reporting & Analytics · Training & User Support · Compliance & Safety Support ESSENTIAL JOB FUNCTIONS: 20% - Administer and maintain the CMMS, ensuring accurate setup of assets, locations, work orders, preventive maintenance (PM) schedules, and labor records. Maintain standardized asset naming conventions, equipment hierarchies, and documentation. Ensure timely and accurate work order creation, updates, and closure. Audit CMMS data regularly to ensure completeness, consistency, and compliance. 20% Support the execution and tracking of preventive and corrective maintenance activities through the CMMS. Monitor PM compliance and follow up with maintenance teams on overdue or missed work orders. Assist Facilities and Maintenance leadership with planning and prioritization of work. 15% -Maintain CMMS parts inventory, including min/max levels, bin locations, and OEM part numbers. Coordinate receiving, stocking, and CMMS check-in of maintenance parts. · Support purchase order creation, invoice attachment, and reconciliation within the CMMS. · Perform regular cycle counts and inventory audits per established schedules. 15% -Generate CMMS reports and dashboards related to: · Work order status and backlog · PM compliance · Labor hours · Asset downtime and failure trends · Inventory usage and spend Provide data and documentation for audits, inspections, and management reviews. 15% -Train and support maintenance technicians and supervisors on CMMS usage and best practices. Serve as the first point of contact for CMMS questions, troubleshooting, and process guidance. · Assist with CMMS updates, upgrades, and new functionality rollouts. 15% -Ensure maintenance records support safety, regulatory, and audit requirements (LOTO, inspections, PMs). · Maintain documentation required for internal and external audits. QUALIFICATIONS: Education/Certifications: · High school diploma or GED required; associate degree or technical coursework preferred. · 2+ years of experience working with a CMMS in a warehouse, distribution center, manufacturing, or industrial environment. · Strong understanding of maintenance workflows, PM programs, and asset management. · Experience managing maintenance inventory and parts data. · Proficient with Microsoft Excel and reporting tools. · Strong attention to detail and data accuracy. Work Experience: · Experience supporting material handling equipment (conveyors, ASRS, sorters, dock equipment). · Experience in retail, ecommerce, or high-volume distribution environments. -commerce, or high-volume distribution environments. · Familiarity with safety and compliance documentation (OSHA, LOTO, inspections). · Experience supporting multiple shifts or 24/7 operations. Requirements
