About The Position

The Facilities Administrative Coordinator will provide frontline contact for Roush’s Facilities department as it relates to corporate vehicles, maintenance, and customer invoicing. The role will also be responsible for responding to inquiries through email or telephone calls, general administrative duties, and special projects, as needed. This position is located in Livonia, MI. We fuse technology and engineering to provide product development solutions to customers in a diverse range of industries. Requirements

  • Minimum high school diploma or equivalent.
  • Minimum 5 years of recent general office experience providing administrative support and coordination, including data entry in a professional environment.
  • Must have valid driver's license and clean driving record.
  • Minimum 3 years of experience supporting a variety of teams and departments in a corporate environment.
  • Strong proficiency in Microsoft Office applications, specifically Outlook, Excel, and Word.
  • Ability to handle multiple assignments simultaneously.
  • Strong organizational, communication, and customer service skills.
  • Capability to work independently and self-manage to prioritize assignment and workload accordingly.

Nice To Haves

  • Vinyl graphics experience such as printing, lamination, framing and installing.
  • Experience with PeopleSoft ERP or other enterprise resource planning (ERP) systems.
  • Experience with Microsoft Access or other database systems.
  • 2 or more years of experience working with outside contractors on facilities projects.
  • Ability to work overtime as needed including weekends

Responsibilities

  • Interact with Roush management, dealerships, suppliers, and Secretary of State for Corporate Vehicle Transactions
  • Record department monthly credit and expense reports and daily staff timecards.
  • Enter data in corporate software for purchase orders and process invoices.
  • Provide assistance and/or direction as needed for Maintenance Work Orders.
  • Prepare and maintain detailed documents and spreadsheets using MS Excel.
  • Complete general administrative duties including telephone calls, scanning documents to electronic files and data entry.
  • Be responsible for corporate graphics production including nameplates, certificates, laminated signage and framed artwork.
  • Perform special projects for the lease and building efforts.
  • Ensure office and graphic supplies are ordered and maintained.
  • Conduct an annual Vehicle Audit which includes entering information into a database, managing Manufacturer plates, and vehicle licenses.
