Maintain it is looking to hire a Facilities Account Manager to join our growing team.

Requirements

  • 3–5+ years of experience in facilities management, commercial maintenance, commercial construction, or service operations.
  • Experience managing client relationships and take pride in delivering exceptional customer service.
  • Proven experience preparing estimates, quotations, and budgets for maintenance or construction-related work.
  • Strong knowledge of commercial building systems, including HVAC, plumbing, electrical, roofing, interiors, and general repairs.
  • Can confidently read and interpret blueprints, construction drawings, and project specifications.
  • Comfortable generating new business opportunities and identifying opportunities to grow existing client accounts.
  • Experience sourcing, negotiating with, and managing subcontractors and vendors.
  • Excellent communication and relationship-building skills and are comfortable working directly with clients, vendors, trades, and internal teams.
  • Highly organized and capable of managing multiple projects, work orders, and competing priorities simultaneously.
  • Strong sense of ownership and take pride in seeing work through from initial request to final completion.
  • Proactive, resourceful, and solutions-oriented—you anticipate problems before they become issues.
  • Remain calm under pressure and make sound decisions in a fast-paced environment.
  • Comfortable working both in-office and on-site, with flexibility for occasional after-hours coordination when required.
  • Legally entitled to work in Canada and able to work on-site in Mississauga with travel to client locations.

Nice To Haves

  • Experience with Spectrum or similar maintenance management or ERP systems.
  • Experience developing and managing preventive maintenance programs.
  • Experience with AR/AP coordination and project cost tracking.
  • Experience creating SOPs and improving operational processes.
  • Existing relationships with commercial trades and subcontractors within the GTA.

Responsibilities

  • Own work orders and service projects end-to-end—from intake, planning, estimating, scheduling, execution, and close-out across multiple client sites.
  • Lead the estimating, quoting, and budgeting process; review scopes, RFQs, purchase orders, invoices, and service documentation.
  • Source, coordinate, negotiate, and manage vendors and subcontractors, ensuring competitive pricing, quality workmanship, and on-time delivery.
  • Generate new client relationships by identifying prospects, promoting Maintain It's services, and converting opportunities into new business.
  • Nurture and grow existing client accounts through proactive communication, relationship management, and identifying additional service opportunities.
  • Act as the primary point of contact for clients, providing proactive updates and delivering an exceptional customer experience.
  • Identify, evaluate, and onboard qualified subcontractors to expand and strengthen Maintain It's network of reliable trade partners.
  • Monitor subcontractor performance to ensure quality workmanship, responsiveness, safety, and compliance with Maintain It's standards.
  • Conduct site visits to verify project progress, safety, and quality, and perform post-work inspections to minimize deficiencies and rework.
  • Support invoicing, AR/AP coordination, cost tracking, and project profitability while monitoring timelines, risks, and key performance indicators.
  • Respond to urgent maintenance requests, effectively balancing competing priorities while maintaining exceptional client service.
  • Analyze recurring maintenance issues and recommend long-term, cost-effective solutions.
  • Continuously identify opportunities to improve operational processes, increase efficiency, and enhance the client experience.
  • Help standardize workflows, contribute to SOP development, and support the adoption of operational systems and tools (e.g., Spectrum).

Benefits

  • Compensation: $70,000–$80,000 annually, based on experience and qualifications.
