About The Position

The Fabrication Operations Coordinator is responsible for a dual role encompassing both personnel and project administration within the fabrication department. This includes managing HR-related tasks for fabrication employees, such as hiring/separation paperwork, scheduling, timecard approvals, and monitoring overtime. The role also involves extensive project administration, including utilizing software like SupplyPro and Moreaware for job management, ordering and tracking materials via POS, and ensuring all project documentation is up-to-date. Additionally, the coordinator schedules warranty appointments, invoices completed projects, and attends material approval meetings with buyers and designers.

Responsibilities

  • Complete Personnel Administration (117 and 118) under the direction of 2 supervisors, ensuring oversight of Fabrication employee personnel work.
  • Implement all company directives and procedures.
  • Enforce all company policies and consult with HR when necessary.
  • Complete HR responsibilities including: Hiring/Separation paperwork, entering employee work schedules, approving timecard corrections, watching overtime and schedule violations, approving sick and vacation time for employees, and completing injury and incident reports.
  • Attend and actively listen to the company-wide weekly Monday Morning Meeting to understand updates that will be disseminated to the team. If unable to attend, listen to the recorded webinar.
  • Utilize SupplyPro for job/project management (Woodside Homes, Century Communities, Lennar, etc.) to print out color selections, enter in template and install dates, make sure addendums are up-to-date, and ensure sinks are correct the day before the template date.
  • Use Moreaware to enter job/project information provided by the builder, including color selections, which areas get counters, edge profiles, backsplashes, sink info, and faucet info.
  • Utilize POS to order material for each job, receive material/slabs when they arrive, and ensure they are put into the right location.
  • Make folders for the jobs/projects with all the information printed out.
  • Work directly with superintendents and/or customer care reps from each builder to schedule warranty/repair appointments.
  • Keep inventory updated and order material accordingly.
  • Utilize scanner to do weekly cycle counts and inventory checks to make sure material location that is showing up in POS matches where the material is physically located.
  • Invoice/bill jobs/projects after they have been installed.
  • Attend slab viewing appointments with designers and home buyers.
  • Receive and process material purchase approvals from buyers.
