About The Position

The Externship Program Coordinator provides administrative, project, and operational support to the Externship Program, through which law students earn academic credit for work performed under the supervision of attorneys in a variety of legal settings. This position reports to the Externship Program Director.

Requirements

  • Associate’s or bachelor’s degree and two or more years of progressively responsible administrative or office support experience, or an equivalent combination of education and experience.
  • Experience with document processing and spreadsheet management; proficiency in Microsoft Office Suite required.
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
  • Ability to interpret and apply policies and procedures.
  • Excellent communication skills and the ability to engage professionally with students, faculty, and external partners in person, by phone, and virtually.
  • Demonstrated commitment to diversity, equity, and inclusion and to the University’s mission, vision, and values.

Responsibilities

  • Provide administrative support to the Director and Associate Director of the Externship Program, and occasional support to the Associate Dean for Experiential Learning.
  • Serve as a primary point of contact for students, faculty, and external partners by greeting visitors, answering phones, monitoring the externship inbox, and providing information and referrals.
  • Communicate clearly and promptly with students, externship supervisors, and internal stakeholders.
  • Schedule meetings for faculty, including new site and supervisor approval meetings and mid-semester check-ins.
  • Coordinate logistics for events such as the Externship Fair and Supervisor CLE programs, including scheduling, materials, and event setup (in-person and virtual).
  • Plan and coordinate workshops, seminars, and program events throughout the academic year and ensure alignment with the Law School calendar.
  • Assist with tracking department expenditures and processing reimbursements.
  • Support communication efforts through newsletters, announcements, and program updates.
  • Maintain and update the externship database, including site listings, student placements, and application requirements.
  • Draft correspondence, reports, and program materials; assist with data tracking and reporting.
  • Perform general office support tasks, including file management, mail distribution, scheduling, and supply coordination.
  • Assist with setup and administration of externship seminars and support reporting related to alternative licensure requirements.
  • Hire and supervise student employees as needed.
  • Support broader law school events and initiatives as needed.
  • Perform other duties as assigned.
