About The Position

Join Ashley Furniture's Global Trade Management team as an Export Documentation Specialist and play a critical role in our international operations. You'll coordinate export shipments, ensure compliance with U.S. export regulations, and prepare documentation that enables smooth customs clearance for our international customers. This position offers the opportunity to work with a global network while contributing to one of America's largest furniture manufacturers.

Requirements

  • Associate Degree in International Business, business-related field, or equivalent work experience
  • 3+ years of office support, clerical, or administrative work
  • Strong attention to detail and excellent organizational skills
  • Proficient computer skills, including Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Ability to learn export compliance requirements and international documentation regulations
  • Strong analytical and problem-solving skills
  • Effective time management with ability to handle multiple projects simultaneously
  • Work independently and collaboratively in a team environment
  • Professional demeanor when handling difficult vendor/customer situations
  • Maintain confidentiality and handle sensitive information appropriately
  • Thrive in a fast-paced environment with strong demands

Responsibilities

  • Create, obtain, and maintain all export documents required for international shipments
  • Audit and approve documents generated by third-party entities to ensure regulatory compliance
  • Provide required documentation to customers, freight forwarders, brokers, and drivers within established deadlines
  • Retain international documentation in accordance with U.S. Customs requirements
  • Accurately report international shipments to the U.S. Census Bureau and Customs and Border Protection through the Automated Export System (AES)
  • Update AES filings when departure dates change
  • Maintain freight invoicing logs and process freight payments on designated payment days
  • Collect and update information for team key process measures
  • Communicate with international suppliers and third-party entities to ensure timely receipt of required documentation
  • Provide guidance on documentation-related questions
  • Analyze late documentation credit requests and provide recommendations to management
  • Assist in ensuring continued export compliance of customers
  • Maintain Standard Operating Procedures (SOPs) for the International Documentation Team
  • Identify areas for improvement and make recommendations
  • Assist with creating, implementing, and monitoring process improvements
  • Stay current with exporting rules, regulations, and international shipping industry changes
