About The Position

The ELOP Coordinator is responsible for the day-to-day management, compliance, and quality oversight of Expanded Learning Opportunity Programs across seven school sites. Reporting to the Director of Education Technology, this position serves as the primary program leader for after-school programming, Fortune Excursions, the organization's core ELOP offering, as well as seasonal intersession and summer programs. The Coordinator leads a layered staff structure of site leads and program staff, ensures regulatory and fiscal compliance, and drives continuous improvement across all program sites.

Requirements

  • Proficiency with program data systems and standard productivity tools.
  • Operate a variety of office equipment, including but not limited to a computer and assigned software applications.
  • Ability to participate in after-hours meetings and emergency calls.
  • 3+ years of expanded learning/after-school experience
  • Multi-site staff management experience
  • Establish and maintain effective working relationships with a wide variety of users and maintain a high level of professionalism, making the needs of students, families, and staff a top priority.
  • Communicate clearly and effectively with technical and non-technical personnel.
  • Perform related duties as assigned.
  • Bachelor's degree is required.
  • Experience in K-12 educational settings.

Responsibilities

  • Lead the planning, implementation, and evaluation of all Expanded Learning Programs, with primary focus on after-school programming and seasonal intensives (intersession and summer).
  • Serve as the operational point of contact for all seven program sites, ensuring consistent service delivery and program fidelity across locations.
  • Conduct regular site visits using a combination of structured observation tools and informal walkthroughs to monitor program quality and scholar experience.
  • Coordinate scheduling, logistics, and program activities in alignment with organizational goals and CDE requirements.
  • Manage scholar enrollment and maintain compliance with required student-to-staff ratios across all sites.
  • Plan and facilitate parent and community meetings to support program awareness, engagement, and feedback.
  • Coordinate marketing and promotion of Expanded Learning Programs with community partners and internal staff.
  • Disseminate CDE guidance and Expanded Learning Program-related regulatory updates to site leads and program staff.
  • Complete and submit all required compliance reports to CDE and other governing agencies in a timely manner.
  • Analyze and project scholar Average Daily Attendance (ADA) for all Expanded Learning Programs.
  • Coordinate data collection across sites and assist in the preparation of district, state, and federal reports.
  • Support preparation of materials for organizational and state audits.
  • Coordinate program evaluation data collection and assist in preparing reports with programmatic recommendations.
  • Monitor program budgets across all sites, tracking expenditures and flagging variances to the Director of Education Technology.
  • Monitor attendance records and financial accounts to ensure fiscal accountability; escalate discrepancies as appropriate.
  • Manage billing and accounts receivable for fee-based programs.
  • Manage relationships and reporting requirements with subsidy agencies.
  • Directly supervise site leads; provide direction, support, and accountability to all ELOP site staff through the site lead structure.
  • Assist in the recruitment and hiring of qualified Expanded Learning Program staff.
  • Plan and deliver staff training aligned to program standards, CDE requirements, and organizational expectations.
  • Support stakeholder and program meetings with staff, organizational leadership, community representatives, and agency partners.
  • Perform other duties as assigned.
