About The Position

Avant Arte is seeking a passionate Amsterdam-based freelance exhibition manager to coordinate and project manage an exhibition scheduled for November 2026. The primary responsibilities include cross-functional coordination for artwork production, installation, art handling, and venue logistics. Additionally, the role involves ensuring on-site sales requirements, such as POS systems, are established and that the exhibition is managed within budget.

Requirements

  • Experienced exhibitions manager with project-management and exhibition coordination skills
  • Proactive and adaptable with the ability to learn quickly and meet on-the-spot requirements that can arise unexpectedly
  • Eye for detail with a passion for delivering exceptionally high standards in everything you do and thrive in fast-paced environments
  • Accountability and ownership with the ability to stay a step ahead and anticipate any issues / concerns, address them with the team and take ownership in resolving them
  • Highly organised
  • Must have a KvK number to work as a freelancer

Responsibilities

  • Exhibition coordination & production
  • Coordinating venue logistics, floor plans, and spatial layouts
  • Coordinating production of artworks including sourcing materials and supporting on fabrication
  • Managing installation and de-installation of works
  • Managing shipping and logistics
  • Project management
  • Delivering the exhibition on time and on budget
  • Coordinating delivery timelines of artworks and production schedule
  • Sales & venue coordination
  • Coordinating technical aspects of exhibition (AV, lighting, music)
  • Supervising on-site staff and volunteers
  • Handling permits, insurance, and risk assessments
  • Ensuring accessibility and safety standards are met
  • POS systems, exhibition catalogue and materials
