About The Position

The Blueprint for Maryland’s Future Accountability and Implementation Board (AIB) is seeking an Executive/Special Assistant. The AIB is a new State agency established to oversee the implementation of the Blueprint for Maryland’s Future, which is a multi–year initiative to transform Maryland’s public schools to provide a world–class education to every student. This is a Special Appointment position, and serves at the pleasure of the Appointing Authority. The AIB is a dedicated, collaborative and dynamic group of professionals working together to achieve the goals of the Blueprint for Maryland’s Future. There are opportunities for everyone at the AIB to learn new skills, expand beyond established roles, and contribute in significant ways to the success of the Blueprint. The basic expectations of all AIB employees are to rapidly learn, take initiative, collaborate with team members, accomplish the quantity of work expected, and adapt to changes in work assignments.

Requirements

  • Associate degree; or a verified equivalent combination of education and high-level administrative experience.
  • Eight years of experience performing administrative support, with at least two years directly supporting an agency head, governing board, commission, or high level executive.
  • Excellent interpersonal, written, and oral communications skills.
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint) and Google Workspace, including cloud-based file management, shared calendars, and video conferencing setups.
  • Strong organizational skills and the ability to handle multiple, concurrent, and high priority tasks independently and with minimal supervision.

Nice To Haves

  • Experience managing the daily operations of an office, copy editing official documents, and drafting or editing internal policies and procedures.
  • Demonstrated knowledge of Open Meeting Acts, public records disclosure mandates, and various confidentiality regulations.
  • Experience in a public PreK-12 school district or related education office.
  • Experience with the State of Maryland's Financial Management Information System (FMIS), and/or Maryland’s Procurement systems (ADPICS /eMMA).
  • Proficient with graphic design software such as Adobe Suite (Photoshop, InDesign, Illustrator) or Canva, to create effective graphics for web and printed communications pieces (for example: annual reports, manuals, brochures, and conference materials).
  • Knowledge of Sharepoint and/or other website development tools.

Responsibilities

  • Special Assistant to AIB, Executive Director, and Assistant Attorney General
  • Provide administrative support to AIB
  • Monitor AIB email/Google account and respond or refer to an AIB team member as appropriate
  • Track receipt of reports due to AIB and disseminate
  • Review AIB documents and materials to ensure accuracy and quality
  • Coordinate AIB Board meetings and meeting materials, ensure meetings are livestreamed and archived on website
  • Coordinate with appropriate staff members to prepare agendas, materials, program, and logistics for board and committee meetings
  • Make logistical arrangements for meetings when necessary
  • Work with the Outreach and Communications Director to support website updates
  • Act as office administrator responsible for day–to–day operations, including managing corporate card purchases and leave calendar/coverage
  • Manage travel and accommodation arrangements and event registrations, and reconcile business expenses
  • Coordinate Ethics compliance and any Public Information Act requests
  • With the Deputy Director for Operations and Department of Budget and Management, coordinate recruitment process, employee onboarding, and ongoing employee relations
  • Coordinate internal office communications
  • Use a high degree of judgment and independent decision-making
  • Perform other duties as assigned
