About The Position

The PGIM Institutional Client Group is seeking an Executive Sales Assistant (ESA) to join the Group’s ESA team and support the Business Development team. The ideal candidate will thrive in a demanding work environment, possess prior experience supporting senior executives and/or sales professionals, and be willing to take ownership of numerous tasks to provide support for a designated team/sales region. This is a hybrid role, requiring three days per week in the Newark office.

Requirements

  • 7 or more years of executive assistant, project management, sales support or other transferable experience in a fast-paced and demanding environment.
  • Proficient in technology systems such as Salesforce, Seismic, PowerBI, Microsoft Word, Power Point, Excel, and Teams.
  • Strong editing and proofreading skills and attention to detail.
  • High degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity.
  • Flexibility to work the hours needed as required to meet business demands.
  • Ability to work collaboratively to problem-solve, and independently with minimal direction.
  • Ability to work under tight time constraints.
  • Ability to prioritize work.

Responsibilities

  • Provide sales support as a power user of the Group’s Salesforce platform, including creating organization and contact records, managing access for client reporting, and building profiles using third-party data providers and data entry.
  • Enter call notes and update top opportunities for sales representatives in Salesforce.
  • Review and update Salesforce audit reports for assigned sales representatives.
  • Pull client or fund manager profiles from databases such as Preqin and MMD.
  • Coordinate all meeting logistics for in-person, virtual, and hybrid meetings, including roadshows, property tours, education sessions, and due diligence meetings.
  • Secure sales representative’s client meeting materials using technology tools like Seismic and Salesforce.
  • Manage schedules/calendars for assigned sales representatives, and arrange travel and expense reimbursements.
  • Secure compliance approval for client gift and entertainment, travel, and related meeting expenses.
