Role Overview The Office of the CEO (OCEO) is a lean, high-impact function designed to maximize executive leverage, ensuring the CEO’s time, energy, and focus are devoted to the highest-impact work. As Executive Operations, your mandate is to design, manage, and optimize the CEO’s operating system – calendar, communications, briefings, and travel. You are a strategic partner to the Head of the OCEO, working closely with the team to anticipate priorities, make high-judgment trade-offs, and ensure the CEO is consistently prepared, focused, and positioned to lead with clarity and impact. You create and maintain an operating playbook for your role, documenting standards, decision principles, and workflows to ensure consistency, scalability, and team alignment. You amplify the CEO’s effectiveness by controlling the flow of time, information, and priorities. This role requires exceptional discretion and is ideal for someone who thrives in high-stakes, fast-moving environments.

Requirements

  • Experienced: 3-4+ years supporting executives in fast-paced, high-stakes environments.
  • In-Person Ready: Available to work from Promise’s Bay Area offices (primarily Fairfield, also Oakland and San Francisco).
  • Judicious: Exceptional judgment and comfort making independent decisions in complex situations.
  • Focused: Ability to prioritize strategically, maintain clarity, and protect the CEO’s attention amid competing demands.
  • Communicative: Strong written and verbal skills; able to distill complex information into clear, actionable insights.
  • Discreet: Trusted with highly sensitive information and executive-level decision-making.

Responsibilities

  • Own the CEO’s calendar end-to-end as a strategic operating system.
  • Maintain calendar hygiene by ensuring all entries are accurate, complete, and structured for efficiency.
  • Make independent, high-judgment trade-offs to prioritize the highest-leverage meetings and relationships.
  • Anticipate preparation, travel, recovery, and focus needs; protect deep work time and sustain the CEO’s energy.
  • Coordinate seamlessly with internal leaders and external partners to ensure alignment and execution.
  • Own and manage inbound and outbound CEO communications with discretion and judgment.
  • Triage messages to surface what matters, filter noise, and escalate appropriately.
  • Draft, edit, and send executive-level responses when appropriate.
  • Track follow-ups to ensure critical threads close cleanly, across all channels.
  • Maintain strict confidentiality and trust in all communications.
  • Prepare concise pre-reads, context, and briefing materials for key meetings.
  • Synthesize information across the company so the CEO enters meetings fully informed.
  • Highlight decision points, risks, and opportunities ahead of time.
  • Ensure materials are clear, timely, and aligned with the CEO’s preferences.
  • Own end-to-end coordination of CEO travel, aligning itineraries with calendar priorities, preparation needs, and recovery time.
  • Coordinate flights, lodging, ground transportation, and meeting logistics.
  • Anticipate risks, contingencies, and tight transitions; proactively adjust plans as needed.
  • Partner with the Assistant to the CEO for on-the-ground execution during travel.
  • Serve as a strategic liaison between the CEO and the OCEO Team, Leadership Team, and GTM Team, ensuring priorities, communications, and information flow are aligned to enable high-impact decision-making.
  • Coordinate with internal leaders and external partners to ensure alignment across calendar, communications, briefings, and travel.
  • Partner closely with the Assistant to the CEO to ensure on-the-ground execution matches strategic priorities.
  • Create and maintain a playbook for calendar, email, briefing, and travel workflows, including decision principles, escalation paths, and team coordination standards.
  • Continuously refine processes to improve clarity, efficiency, and executive impact.
