About The Position

The Executive & Office Coordinator is a full-time position serving as the operational backbone of the 6 Stones office and a trusted right hand to our Executive Team. This dual-scope role blends day-to-day office management with high-level administrative support for executive leadership, making it ideal for someone who thrives on variety, anticipates needs before they arise, and takes pride in keeping an organization running smoothly. We're looking for someone who is Christ-centered and ministry-minded, highly organized and detail-oriented, proactive and anticipatory, and committed to discretion and sound judgment.

  • Sound judgment and discretion — handles sensitive and confidential information with professionalism
  • 2+ years in an administrative, executive support, or office management role
  • Prior experience supporting an executive director or nonprofit board is a plus
  • Team collaboration — liaises effectively between staff, leadership, and external partners
  • Technical proficiency — comfortable with Microsoft Office/Google Workspace and general office technology

Responsibilities

  • Manage the Executive Team's calendar, scheduling, and correspondence
  • Prepare briefing materials, agendas, and follow-up notes for meetings
  • Draft, proofread, and format internal and external communications
  • Support board meeting preparation, including materials and minutes
  • Handle sensitive and confidential information with discretion
  • Question assumptions, draw from diverse resources, and develop creative solutions to meaningful problems.
  • Identify issues, gather relevant information, and make sound, timely decisions with appropriate input.
  • First point of contact for visitors, vendors, and incoming calls
  • Enhance the office entrance to create a strong first impression.
  • Manage office supplies, equipment, and facility needs
  • Oversee mail, deliveries, and general office organization
  • Coordinate scheduling and logistics for internal meetings and events
  • Maintain filing systems, records, and office procedures
  • Support onboarding logistics for new staff and volunteers
  • Set high standards, take ownership of outcomes, and ensure consistently excellent, error-free work.
  • Actively seek feedback, engage in learning opportunities, and apply new skills on the job.
  • Assist with special projects and initiatives as assigned by the Executive Team
  • Liaison between staff, leadership, and external partners as needed
  • Help maintain a welcoming, well-run office environment aligned with the organization's mission and values
  • Respond quickly to emerging needs and take independent action without waiting to be asked.
  • Share information openly, involve others in key decisions, and actively support team goals.
