About The Position

Boeing Commercial Airplanes (BCA) is seeking an Executive Office Administrator to join the Fabrication Division in Auburn, Washington. This role provides high-level administrative support to the Fabrication Fulfillment, Finance, and Quality executives, playing a critical part in maintaining smooth executive office operations through exceptional coordination, clear communication, strict discretion, and meticulous attention to detail. As a trusted partner to leadership, the Executive Office Administrator manages daily administrative responsibilities, advances strategic priorities, and fosters effective cross-functional communication across the organization.

Requirements

  • 1+ years of experience in an administrative support or receptionist role
  • Experience managing schedules and calendars using Microsoft Outlook
  • Experience managing multiple projects simultaneously, prioritizing tasks, and meeting deadlines in a fast-paced environment

Nice To Haves

  • Associate's or bachelor's degree preferred
  • Experience using Concur and proficient in setting up travel and expense management
  • Experience interfacing and communicating with business leadership, including C-level executives
  • Ability to maintain confidentiality and exercise sound judgement
  • Strong problem-solving skills and ability to work independently

Responsibilities

  • Coordinates and processes domestic and international business travel arrangements
  • Monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
  • Collects and compiles data to provide visibility of status for traveler's review and/or signature
  • Creates, edits and maintains electronic and written communication
  • Tracks and maintains information relative to department and business operations
  • Verbally communicates a wide variety of information to multiple audiences
  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Prioritizes and schedules management-level employee time and availability for efficient use of time
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources
  • Orders and maintains office supplies
  • Plans and implements logistics for executive level internal and external events
  • Works under limited supervision
