The Role The Executive Director of Operations is responsible for the operations of ExpressCare Retail locations in Oregon, Washington, Alaska, and Montana as well as the virtual business servicing the seven states within Providence footprint, and the two Urgent Care clinics wholly owned by ExpressCare in Washington and Alaska. The Executive Director is also responsible for system alignment in operations for all urgent cares across the Providence System. Under the direction of the Chief Clinical Officer, the Executive Director assists in developing strategies and accountabilities that lead to the alignment, standardization and ongoing improvement of professional practice, clinical operations, and financial stewardship by evaluating, designing, and implementing best practice. Responsible for facilitating quality improvement processes and implementing the necessary components to achieve the desired outcomes. This position is responsible for implementation of key business strategies and project management including planning, organizing, and directing the development of complex projects of strategic importance. This position requires expertise in developing long range business plans to complement and in conjunction with the growth strategies within ambulatory services, acute care, clinical programs, and Providence Medical Groups.

Requirements

  • Bachelor's Degree in Healthcare or Business Administration or a clinical degree, and Master's Degree in Healthcare or Business Administration or a clinical degree.
  • 10 or more years of progressive leadership experience in Ambulatory/Acute Care preferably in leading, organizing and managing major clinical programs and business services and functions.
  • Experience in a complex healthcare delivery environment, including primary and specialty clinic operations, financial management, long-term and assisted living ancillary services, dietary services, and interpreter services in a critical access facility.
  • Strong Data Analytics background
  • Solid financial background gained through both operational and business planning experience.
  • Possess and be able to demonstrate a working knowledge of healthcare reimbursement principles, information systems, cost management, and quality improvement and service excellence concepts.
  • Understand and be comfortable in a matrix structure environment.
  • Understands process management techniques and principles of Six Sigma and LEAN.
  • Understanding of and be able to maximize use of Internet and Intranet.
  • A working knowledge of various software: Excel, Word, PowerPoint is necessary.
  • Evidence of a strong ability to lead teams and maintain positive professional relationships.
  • Able to develop strong working relationships with physicians and other healthcare professionals.
  • Able to process information and adapt quickly to changing healthcare environment.
  • Use cognitive thinking skills, lead multidisciplinary groups and prioritize and organize work in an accurate and timely manner.
  • Able to adjust facility operations to meet the highest level of organizational performance as measured by system standards.
  • Demonstrates ability to communicate in an honest, straight forward manner while developing an environment of collaboration and consensus building.

Responsibilities

  • Manages assigned operations effectively and efficiently in all Express Care locations.
  • Ensures alignment in operations, quality metrics, and clinical protocol in Urgent Care clinics and Express Care.
  • Monitors the accuracy and reliability of financial data as it pertains to department oversight.
  • Implements organized management and administrative functions throughout the ambulatory setting including the establishment of clear lines of responsibility and accountability within department leads.
  • Participates in designing strategies that address the unique needs of a diverse workforce, patient population, and community.
  • Implements a comprehensive management reporting system for department manager accountability.
  • Works collaboratively with multidisciplinary and highly matrixed team leadership to accomplish strategic regional goals and objectives.
  • Ability to manage multiple geographical sites effectively while maintaining strong professional relationships at all locations.
  • Understands organizational revenue, expense performance and capital planning and uses this knowledge strategically to influence operational and clinical decisions.
  • Ensures the professional and administrative staff monitor and evaluate the quality and appropriateness of patient care and clinical performance, resolves identified problems and reports information to the CCO pertinent to fulfilling the responsibility for the quality of patient care.
  • Coordinates ambulatory services with the identified needs of the patient population served.
  • Participates in the development of and assists in the process of maintaining a formal budget. The budget should reflect a clear, concise coordinated financial program for attaining goals and objectives.
  • Provides for personnel policies and practices through the management of administrative staff.
  • Provides direct daily leadership to various leaders and teams to include budget management, team development, employee engagement, patient satisfaction, regulatory compliance, and planning.
  • Effectively coordinates the integration efforts of regional and site-based programs to maximize existing resources and expands services to meet community needs.
  • Works closely with service area managers and administrators during planning and implementation phases of clinical or business changes for various services.
  • Participates actively in strategic planning and budgetary formation in conjunction with the Finance Manager to ensure strong and focused operational and financial management of the areas assigned, as well as the service area.
  • Assists with operations related compliance preparedness and audit processes as indicated.
  • Supports employed providers and physicians by knowing and understanding their issues and works with providers and physicians to provide appropriate support and operational environment.
  • Participates in the coordination and review of all expansion and physical redesign of facilities.
  • Works closely with facility planners, attends appropriate meetings regarding implementation, equipment and furnishings.
  • Works closely with the information system teams to ensure appropriate technological support is in place.
