About The Position

This role serves as the leader for the Emergency Medicine department, responsible for strategic decision-making, operational oversight, and financial management. The Executive Director will collaborate with physician leaders, manage practice managers and staff, ensure compliance with regulations, and play a key role in implementing new health system initiatives. This position involves extensive coordination, communication, and administrative functions to optimize the efficiency and effectiveness of the Emergency Department.

Requirements

  • Bachelor’s Degree in Business Administration, Healthcare Administration, or related field required.
  • 7+ years of experience in healthcare administration working at a director level or above, preferably in an urgent care or emergency medicine practice, or similar field.
  • Experience managing teams at a director level or above.
  • Experience with operational oversight managing provider scheduling, personnel, financial management, revenue cycle management, HR and payroll functions, quality initiatives, and ensuring compliance with facility and hospital by-laws as well as regulatory laws.
  • Strong leadership skills.
  • Operational management, with high degree of initiative, judgment, discretion, and decision-making.
  • Skilled in strategic planning, financial management, regulatory compliance, quality improvement, and human resource management.
  • Skilled in stakeholder engagement, collaboration, and crisis management.
  • Strong verbal and written communication.

Responsibilities

  • Lead department decision-making and serve as a strategic partner in executing actions to meet established goals.
  • Serve as triad leader, collaborating with Emergency Subdivision-North and Emergency Subdivision-South physician leaders.
  • Provide leadership, guidance, training, and support to Practice Managers and ED staff.
  • Resolve issues and hold employees accountable for performance expectations.
  • Ensure providers are complying with hospital by-laws, regulatory requirements, and federal laws.
  • Coordinate, attend, and participate in all ED quarterly leadership meetings.
  • Participate in new Health First project initiatives, go-lives, downtime, and application enhancements.
  • Provide ongoing communication between the ED and Health First, including new application implementations, training, and current events.
  • Schedule, facilitate, and/or participate in various meetings, including credentialing meetings, department staff meetings; partner meetings; and other meetings as requested.
  • Serve as the point of contact for administrative ED-related items for Health First, and for provider/Health First issues.
  • Create reports, conduct analysis, and distribute information, including the monthly productivity reports and monthly review of NRC AHP reviews.
  • Create monthly shift schedule for all Training Track AHP's.
  • Perform yearly functions, including external comparison/analysis of scribe services, facilitating annual AAEM coverage for physicians, providing mandatory annual physician stroke CME, and leading annual color testing initiative for Health First.
  • Create and modify divisional policies, as needed.
  • Perform HR related functions, including conducting performance evaluations, ensuring timecard completion and submission, posting job openings, and PTO review.
  • Work with HR on any employee leaves of absence, employee relations matters, and terminations.
  • Initiate retention and recognition efforts for ED providers.
  • Oversee scheduling to ensure full-time requirements are met for Allied Health Professionals (AHP's).
  • Oversee and monitor financials, including budgeting, cost containment, payroll, and revenue cycle management.
  • Provide oversight and analysis of scribe financial costs.
  • Track W2 physicians worked hours to ownership threshold.
  • Identify measures, track, and report MIPS, in order for providers to correct deficiencies.
  • Perform payroll processes, including overseeing Director payments, submission of K-1 owners hours, 1099 hours and payments, quarterly AHP bonus distributions, monthly First Flight payments, and quarterly partner distributions.
  • Request chart audits and communication of education with providers.
  • Facilitate meetings with external billing company and applicable BPA staff.
  • Assist Finance Department in developing and managing department budget.
  • Identify cost-saving opportunities and implement efficiency measures.
  • Oversee revenue cycle management, reimbursement processes, and payer contract negotiations relative to the Emergency Department.
  • Monitor market trends to assess opportunities for business development.
  • Implement risk management strategies to minimize liability exposure.
  • Optimize clinical workflow and operational efficiency across emergency room sites.
  • Oversee integration of Electronic Health record (EMR) feeds with various vendor systems.
  • Represent the emergency medicine department in hospital meetings, BPA board meeting, and industry events.
  • Attends other meetings on a weekly, bi-weekly and monthly basis.
  • Create and manage and negotiate all divisional Contractor Agreements, Employment Agreements, and Member Employment Agreements.
  • Identifying and vetting qualified provider candidates, along with initiating and conducting all interviews.
