Executive Coordinator

About The Position

Fresh Tech is a rapidly growing, innovative AVL integration company that exists to accelerate every church's unique mission. We design and install purpose-built audio, video, and lighting systems for ministries across the Northeast US and beyond, and we've been at it for over 20 years. We're looking for an Executive Coordinator (roughly 30 hours/week) to work directly alongside our CEO and multiply their capacity to lead. This is not a sit-in-the-corner-and-schedule-things role. You'll be trusted with real responsibility from day one: managing the CEO's calendar, inbox, tasks, and travel, keeping a bird's eye view of our active projects, and making sure every customer gets timely, quality communication and is never left wondering where things stand. Some days you'll reach out to clients to confirm project status and keep everyone on the same page. Other days you'll take an idea like "let's deliver Christmas cookies to all our clients," research it, figure out what's realistic on time and budget, present a plan, and run it. You'll capture meeting notes with AI tools (and verify them, because you're sharp like that), turn conversations into action items, and track them to done. You'll also keep the office running: snacks, coffee, supplies, and the birthday and anniversary celebrations that make this a great place to work. This is a high-trust seat. You'll see sensitive things: strategy, compensation, hiring. We need someone with complete discretion, a servant's heart, and zero interest in gatekeeping or borrowing the boss's authority. Your job is to help people feel heard and help the CEO move fast, not to be in charge.

Requirements

  • A figure-it-out person: give you an ambiguous goal and you come back with a plan
  • Excellent writer who can draft professional emails in someone else's voice
  • Organized and reliable, with follow-through that never needs a reminder
  • Proven discretion with confidential information
  • Discernment: you know what to handle, what to route, and what to escalate
  • Comfortable with AI tools for notes, drafting, and research, and diligent about verifying what they produce
  • Google Workspace proficiency
  • Alignment with our Core Values: Honesty Always, Ministry First, Future Forward, People First, Elevate Everything

Nice To Haves

  • Basecamp, Zoho CRM, or Jetbuilt experience
  • Active involvement in a local church is strongly preferred
