About The Position

The American Red Cross is seeking an Executive Coordinator to support the CEO for the American Red Cross of Massachusetts. This position is located in Dedham, MA, and operates on a hybrid schedule, working 3 days per week in the office and the other days from home. The Executive Coordinator provides complex administrative support to a department, group, or program. This includes preparing reports and various correspondences, administering projects, programs, and/or processes applicable to the unit, and analyzing unit operating practices to recommend revisions for improved procedures. The Executive Coordinator may also serve as an administrative liaison with others within and outside the company regarding administrative issues. Key duties involve calendar management, meeting management, supporting the Board of Directors, and project management. The ideal candidate must be highly organized and proactive to anticipate needs.

Requirements

  • High School or equivalent required
  • Minimum 7 years related experience or equivalent combination of education and related experience
  • Excellent verbal and written communication skills
  • Proficient in personal computer use and Microsoft Office Suite
  • Proficient typing skills required
  • Ability to work on a team

Responsibilities

  • Provide complex administrative support to a department, group or program
  • Prepare reports and various correspondences
  • Administer projects, programs, and/or processes applicable to the unit
  • Analyze unit operating practices and recommend revisions to improve established procedures
  • Serve as an administrative liaison with others within and outside the company regarding administrative issues

  • Perform a variety of complex administrative duties, with little supervision and exercising confidentiality
  • Prepare and maintain memos, records, reports, data or correspondence for management or staff review
  • Review correspondence for consistency with corporate policies and practices
  • Develop high-level presentations and/or spreadsheet reports and run specialized queries from department database
  • Initiate, prepare, and edit written materials, correspondence, and reports using various software and/or database management applications
  • Compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations supporting functional area or business unit/project by utilizing specific database or software applications
  • Administer a particular project involving operational issues and compile results and findings for management review
  • Participate as a department representative on a cross-functional project team or serve as a project manager for an intra-department project
  • Provide functional supervision to clerical/administrative staff assigned to unit
  • Provide support, development and/or leadership guidance to all volunteers
