About The Position

The Executive Coordinator and Assistant to the Managing Director provides high-level administrative, organizational, and coordination support to the Managing Director while also contributing to key business activities such as reporting, research, project coordination, and presentation development. This role serves as a trusted partner in helping manage the Managing Director’s time, priorities, and executive engagements effectively. The ideal candidate is highly professional, polished, engaging, and service-oriented, with the ability to represent the executive office with credibility and discretion. This individual must be capable of supporting executive-level communications, developing high-quality presentations, coordinating complex logistics, and assisting with organizational initiatives that support business goals.

Requirements

  • Bachelor’s degree preferred.
  • Minimum of 3–5 years of experience supporting executive or senior leaders, or experience in a comparable administrative support role.
  • Strong administrative, organizational, multitasking, and coordination skills, with demonstrated ability to complete projects and meet deadlines.
  • Excellent verbal and written communication skills.
  • Experience communicating and collaborating with managerial and executive-level staff, customers, and employees across all levels of the organization.
  • High proficiency in SAP, Microsoft Word, Excel, and PowerPoint.
  • Strong business English skills required.
  • Demonstrated ability to maintain strict confidentiality and professionalism.

Responsibilities

  • Maintain strict confidentiality and discretion across all executive communications, presentations, and business materials.
  • Handle sensitive information with sound judgment, particularly in support of executive and board-level activities.
  • Serve as a trusted, professional representative of the executive office at all times.
  • Manage the Managing Director’s calendar, scheduling, and prioritization of meetings and commitments.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Prepare and process expense reports.
  • Organize and support executive meetings, including agendas, materials, and follow-up items.
  • Coordinate logistics for leadership meetings, off-site events, and conferences, including Mining Meetings, Sales Conferences, and State of the Business meetings.
  • Compile, format, and prepare reports, presentations, summaries, and other materials for leadership review.
  • Independently develop professional presentations from rough concepts, outlines, or verbal direction, ensuring content, tone, and complexity are tailored to diverse audiences including employees, customers, executives, and board members.
  • Demonstrate advanced proficiency in Microsoft PowerPoint and create visually compelling, well-structured presentations.
  • Gather and organize data from internal systems such as SAP, UKG, C4C, and Excel.
  • Synthesize complex information into clear, engaging, and audience-appropriate messaging.
  • Manage presentation projects from initial concept and visual design through revisions and final delivery.
  • Conduct basic research on industry topics, customers, or competitors as requested.
  • Support tracking of key action items and initiatives to ensure follow-through.
  • Assist in preparation for quarterly reviews and business updates.
  • Ensure strong attention to detail in formatting, consistency, branding, and accuracy across all presentation and reporting materials.
  • Work collaboratively with leadership to translate high-level objectives into effective communication tools and presentation materials.
  • Serve as a liaison between the Managing Director and internal and external stakeholders.
  • Draft and edit professional communications, correspondence, and presentation materials.
  • Maintain strong working relationships across all levels of the organization and provide insight and feedback to the Managing Director regarding the state of the business.
  • Handle sensitive and confidential information with a high degree of discretion and professionalism.
  • Maintain strict confidentiality in all executive, presentation, and reporting materials.
  • Act as a welcoming and professional presence for visitors, customers, and employees.
  • Coordinate and support executive events, meetings, and company functions.
  • Bring a positive, polished, and engaging presence to the executive office.
  • Support employee engagement efforts tied to executive visibility.
  • Assist with the coordination of projects and special assignments.
  • Track timelines, follow up on deliverables, and provide status updates.
  • Coordinate regular quarterly budget review meetings.
  • Support cross-functional collaboration as needed.
  • Perform additional special projects and duties as assigned.
