About The Position

The Executive Assistant (EA) to the Senior Executive Assistant is responsible for providing professional and confidential administrative and organizational support. Enhancing the CEO’s office effectiveness by providing management support and by representing the CEO and the ministry to others.

Requirements

  • Must have a personal relationship with Jesus Christ.
  • Must sign the Statement of Faith.
  • A minimum of an Associate's Degree is required; a Bachelor’s Degree is preferred.
  • Ability to travel between AWM HQ and Charis Bible College locations in Woodland Park, CO extensively.
  • Must accurately type 60 wpm.
  • On-call when needed by the CEO or other Executives.
  • Must pass all required checks.
  • A course of study with a focus on business administration, organizational management, and advanced digital proficiency is ideal.
  • Minimum of 3 to 5 years of experience in an Administrative Assistant position or Executive Assistant position.
  • Strong work tenure: 2+ years of experience supporting management, preferably in a non-profit organization.
  • Ability to handle personal, sensitive, and confidential information discreetly.
  • Able to exercise a high degree of judgment, diplomacy, and an impeccable commitment to confidentiality.
  • Ability to work under high pressure.
  • Highly organized with the ability to prioritize and track multiple ongoing tasks.
  • This role demands a high level of organization, flexibility, resourcefulness, efficiency, and a professional demeanor in the challenges represented by supporting the executive leadership team.
  • Polished communications skills – both verbal and written.
  • Excellent event planning skills and strong attention to detail.
  • Ability to prioritize tasks, delegate when necessary, and change direction quickly.
  • Able to handle changing priorities, diverse day-to-day responsibilities, as well as non-routine circumstances when they arise.
  • Strong interpersonal skills and ability to work effectively with peers, managers, the community, different nationalities, and a wide range of people with diverse backgrounds.
  • Excellent writing skills, reporting skills, scheduling, and time management skills.
  • Excellent presentation skills.
  • Strong proficiency in Windows-based computers, including Outlook, Word, Excel, and PowerPoint.
  • Excellent research skills and the ability to interpret data from varied sources.
  • Must demonstrate a high level of professionalism, productivity, and excellence.
  • Candidate will maintain a positive attitude within the position.
  • Must have the ability to relate well to all disciplines and exhibit tact, good judgement, and initiative.
  • Candidate should possess good communication skills, interacting with callers, visitors, students, and persons of varying levels of professional expertise in a sensitive manner, projecting a positive image of the Ministry and CEO, while giving and receiving a wide variety of information.
  • Must have good people skills, sensitivity, caring, and be able to change plans and course of action at a moment's notice while maintaining a good attitude.
  • Flexible hours often require extensive work schedules to complete tasks.

  • Candidate should be easygoing, have a good sense of humor, not easily offended, and smile often.

Nice To Haves

  • A Charis Bible School graduate is preferred.
  • A Charis Bible College Business School graduate is preferred.
  • Previous experience as an Executive Assistant to the Chief Executive Officer is preferred.
  • Strong proficiency in Mac products.
  • Familiarity with financial reports/statements, credit cards, and expense management.

Responsibilities

  • Assist the CEO’s Office in any and all responsibilities entailed in the execution of administrative and organizational objectives of the ministry as appropriate and deemed necessary by the CEO, ensuring the CEO’s schedule runs smoothly.
  • Responsible for a high level of administrative and organizational support, including confidential and strategic calendar management for the CEO, preparation for meetings, travel arrangements, employee meetings, and communications, processing expenses, corporate resolutions, and subsequent correspondence in connection with Board meetings.
  • Providing confidential executive support to the Senior Executive Assistant, handling a wide range of projects, administrative and executive support-related tasks, making decisions, and applying discernment in confidential matters.
  • Produces information by transcribing, formatting, inputting, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves the Executives’ time by reading, researching, and routing correspondence, drafting letters and documents, and collecting and analyzing information.
  • Coordinate, support, facilitate, and attend team meetings to record minutes.
  • Evaluates and manages meeting requests for the CEO with VIP's and other executives.
  • Prepare presentations on PowerPoint for Charis Business School, Church Meetings, and other executive meetings as necessary.
  • Organize and prepare for the annual board meeting in March.
  • Approve timecards, PTO, and vacation time for employees that report to the CEO.
  • Coordinate and manage the CEO's product tables at special events as necessary, i.e., Ministry Conferences and Church speaking engagements.
  • Communicate well with upper management in a clear and concise manner when necessary.
  • Helps manage as a gatekeeper at times due to scheduling, conferences, and meeting requests.
  • Manage the CEO's office expenses and invoices that pertain to the office.
  • Perform quality work in a confidential and sensitive manner, work under stressful situations, meet numerous deadlines, and experience frequent interruptions.
  • Oversees the Business School as it reports to the CEO/Director of the Business School.
  • Arrange all travel arrangements details for the CEO and spouse.
  • Manage travel itineraries according to the CEO’s preferences, including reserving flights, car rentals, lodging accommodations, and transportation details.
  • Make copies of all traveling documents, including passports, driver's licenses, confirmation numbers, flight upgrades, flight seat selections, etc.
  • Domestic and international travel 30% of the time.
  • Other duties as assigned.
