About The Position

This position is responsible for performing various front-desk and reception functions, including greeting clients and visitors, managing a multi-line switchboard, directing calls, taking messages, checking in clients, collecting payments, scheduling appointments, handling mail and faxes, assisting clients with intake forms, and managing difficult customer interactions. The role also involves entering client data into electronic systems, providing support to Health Information Management, filing documents, performing administrative tasks such as typing and data entry, generating requisitions, and taking meeting minutes. Additionally, the position is responsible for running and validating monthly/quarterly reports, troubleshooting inaccuracies, coordinating IT functions, participating in the daily deposit process, monitoring and ordering office supplies, calling in prescriptions, coordinating lab appointments, and processing lab results. The Executive Business Professional may also act as a liaison with the Properties department and serve as the Infection Prevention Representative for the site.

Requirements

  • High School or GED required.
  • Three to four years’ experience working in office setting and performing various clerical or administrative tasks.
  • Advanced knowledge of Microsoft Office Suite.
  • Strong oral and written communication skills.
  • Ability to lift up to 10 pounds.
  • COVID and Influenza vaccinations required.

  • Completion of up to 18 months’ business school, beyond high school preferred.

Responsibilities

  • Perform front-desk/reception functions including meeting and greeting clients and visitors.
  • Answer multi-line switchboard, forward calls, take and deliver messages.
  • Check in clients, verify demographic information, collect payment for services, and document payment.
  • Notify clinician when client arrives.
  • Reconcile cash drawer and schedule client appointments.
  • Handle mail, faxes, and assist clients in signing intake forms.
  • Manage difficult customer service interactions face-to-face or by telephone.
  • Enter client data (demographics, eligibility, service corrections) into electronic information systems.
  • Enter program-specific data (e.g., grants) into various databases.
  • Provide medical records-related support to Health Information Management staff as needed.
  • File and maintain correspondence, records, reports, and other documents related to site operations.
  • Perform administrative functions including typing, data entry, generating requisitions, and taking meeting minutes.
  • Run and assess the validity of miscellaneous monthly/quarterly reports, problem-solve inaccuracies, and take action on report results.
  • Coordinate work site’s IT functions as needed.
  • Participate in the daily deposit process, including reconciliation.
  • Monitor work site’s inventory of office supplies and order supplies as needed.
  • Call in prescriptions to pharmacy, coordinate lab appointments, and process lab results.
  • Act as liaison with SCS’s Properties department, submitting work orders and communicating site needs.
  • Act as Infection Prevention Representative for the site, monitoring supplies, attending meetings, and communicating measures to staff.
  • Exercise principle-centered leadership, focused on customer service responsiveness, with a continuous quality improvement orientation.
  • Develop a working knowledge of and follow all policies and procedures related to safety management and other Joint Commission standards.
