About The Position

The Executive Business Partner supports the Upper-Level Executive Team including the Chairman and CEO, President & Chief Administrative Officer, Senior Vice President, General Counsel, Assistant Corporate Secretary, and Chief Transformation Officer, and provides significant administrative and logistical support to the Assistant Corporate Secretary. The position manages Senior Executives’ calendars, coordinates executive communications, prepares reports and presentations, oversees special projects, and acts as a liaison between executives and internal or external stakeholders. This role combines advanced administrative expertise with business acumen, acting as a trusted partner who anticipates needs, drives administrative efficiency, and supports organizational objectives. Performance shall meet and exceed company policies and procedures while meeting the individual needs of the Senior Executive Team. Assignments must be completed in a timely and professional manner, maintaining confidentiality while utilizing best judgement in decision making of all tasks and assignments.

Requirements

  • Bachelor’s degree in business administration or a related field (or equivalent experience)
  • 5+ years of experience supporting senior executives or in a strategic business support role.
  • Strong business acumen with the ability to understand organizational priorities and translate them into action.
  • Excellent organizational, communication, time management, interpersonal and problem-solving skills.
  • Demonstrated proficiency in MS Word, MS Excel, MS PowerPoint, MS Outlook, Visio, Acrobat, SharePoint, and overall computer literacy.
  • Ability to multi-task, exercise proper judgment, prioritize work assignments and work independently with minimal supervision.
  • Candidate must be professional, discreet, and diplomatic at all times, with the ability to handle sensitive situations, maintain strict confidentiality of all company matters, and respond appropriately to all stakeholders internally and externally.
  • Must be available to work extended hours as assigned, possibly at secondary locations, in response to System emergencies.

Responsibilities

  • Provide timely and accurate technical support to the Assistant Secretary in areas including, but not limited to: Processing Board correspondence, maintaining corporate records and files, assisting with corporate events, as needed; Maintaining Unitil Investor Relations website; Managing onsite and offsite Board of Directors meeting logistics and catering; Processing Board of Directors expense reimbursements, travel arrangements, and cash retainer fee administration; Supporting quarterly Board of Directors meeting preparation and assistance, as needed; Create and maintain corporate files, as needed; Establishing quarterly earnings conference call logistics; maintain relationship with conference call service; Assist in preparation of annual Directors and Officers Questionnaire; Performing monthly reconciliation and reporting of Company stock plan share reserve balances; Annual Shareholders’ meeting technical support and document preparation; SEC Section 16 Form filings
  • Supports the Executive Team by providing timely and discreet assistance, often managing sensitive information with the highest level of discretion, efficiency, and confidence. Support services include but are not limited to: Managing calendars, prioritizing meetings, and stakeholder interactions, ensuring alignment with strategic priorities; Coordinating and preparing materials for meetings, including agendas, presentations, and follow-up assignments; Supporting special projects, ensuring timely and successful completion; Maintaining confidentiality of sensitive business information and executive-level discussions; Organizing travel logistics, events, and high-level engagements; Managing communication including screening calls and incoming mail; Processing monthly time sheets and expense reports; Coordinating with various external organizations; Maintaining accurate electronic and physical filing systems, ensuring compliance with internal and regulatory requirements; Managing the expense reimbursement process, ensuring compliance with company policy and timely submission; Reconciling corporate credit card statements and processing invoices for approval; Other support duties as assigned
  • Provide Coverage and backup as needed in Lower-Level Corporate Executive area.
  • Efficent and professional completion of special assignments as directed by Executive and Management Team for process enhancements and in fulfillment of the corporate mission.
