About The Position

Chainguard is seeking a highly organized and resourceful Executive Business Partner to support the CEO. This hybrid role involves being a thought partner and force multiplier for the CEO, managing day-to-day needs to allow them to focus on leading the company. The role also includes providing calendar and administrative support to the VP, People, assisting with select personal tasks for the CEO, and in the short term, helping to run the New York City office. This position suits an individual comfortable with driving executive priorities, managing complex logistics, and supporting office operations. The role reports to the Chief of Staff to the CEO.

Requirements

  • 3+ years of experience supporting C-level executives as an Executive Assistant, Executive Business Partner, or Chief of Staff.
  • Exceptional organizational skills and the ability to manage competing priorities under tight deadlines.
  • Outstanding written and verbal communication skills.
  • A high degree of discretion, judgment, and trustworthiness when handling confidential information.
  • Demonstrated ability to operate effectively across strategic support, office logistics, and personal assistance.
  • Based in or able to work on-site in New York City.
  • Willing to travel to Connecticut 1–2 times per week as needed.
  • A proactive, adaptable approach to a broad and varied scope of work.

Responsibilities

  • Own the CEO's calendar end-to-end, proactively resolving conflicts and prioritizing time against what matters most.
  • Prepare the CEO for meetings with agendas, background materials, and key talking points.
  • Draft, proofread, and manage correspondence and communications on the CEO's behalf.
  • Coordinate cross-functional projects and follow up on action items to ensure deadlines are met.
  • Act as a trusted liaison between the CEO and internal teams and external partners.
  • Plan and coordinate domestic and international travel, including detailed itineraries.
  • Manage expense reporting and other administrative processes.
  • Manage calendar scheduling and prioritization for the VP, People.
  • Provide day-to-day administrative support to the VP, People, including meeting preparation, correspondence, and travel coordination as needed.
  • Manage select personal appointments, errands, and scheduling needs for the CEO.
  • Coordinate personal travel arrangements and reservations for the CEO.
  • Assist with household or family logistics as needed and requested for the CEO.
  • Handle ad hoc personal projects with discretion and professionalism for the CEO.
  • Serve as the primary point of contact for employees on office procedures, amenities, and day-to-day operations in the NYC office.
  • Maintain the NYC office environment in partnership with the Culture team.
  • Plan and coordinate logistics for in-office meetings and events, including catering and setup.
  • Support employee engagement and culture-building initiatives in the office.
